Understanding Columbia University Transcripts

Key Information on a Columbia University Transcript
Besides the detailed academic record, a Columbia University transcript typically contains the following information:
- Name: The student's name as it appears in official Columbia University records.
- School and Departmental Affiliation: The specific school (e.g., Columbia College, School of Engineering and Applied Science) and the student's affiliated department.
- Degree/Certificate Program: The specific degree or certificate program the student is enrolled in, if applicable.
- Degree/Certificate Conferral Date: The date on which the degree or certificate was officially awarded, if applicable.
- Honors Earned: Any academic honors or distinctions earned by the student.
- G.P.A.: Grade Point Average, printed only on transcripts for students from Columbia College (CC), General Studies (GS), School of Professional Studies (SPS), and School of Engineering and Applied Science (SEAS). Note that G.P.A. is not included on transcripts for students who attended prior to 1982.
How to Order a Transcript
The process for ordering a transcript depends on when you attended Columbia and whether you have a Columbia University Network Identification (UNI).
Current and Former Students with a UNI:
Current and former students who attended Columbia after 2001, and those who attended between 1982 and 2000 AND have a Columbia UNI, should order transcripts and certifications online through Vergil. Vergil allows you to request secure electronic or paper transcripts. Current students can request transcripts online using Vergil free of charge.

Alumni Without a UNI:
If you attended Columbia before 1982 OR do not have a Columbia UNI, you must use the Parchment Exchange to request your transcript or certification.
When ordering through Parchment Exchange, you will need to provide personal identifying information, such as your full legal name (including any former names), date of birth, and years of attendance.
Important Note: Only the student or alum can order their academic record.
Columbia University does not withhold official transcripts from students or alumni who have an outstanding financial obligation to the university, in accordance with New York State Law. While a financial hold may prevent registration or the receipt of a diploma, it will not impede the release of an official transcript.
Navigating Course Registration at Columbia
Registration is a crucial process for all students. According to University regulations, each person who completes registration is considered a student of the University during the semester for which they register, unless the student’s enrollment status is altered. Almost all students will manually register for classes on Vergil during assigned appointment times. Some classes may be blocked from web registration and require written or electronic approval. Vergil will indicate this when you try to register.

Registration Periods and Procedures
Registration for each term occurs during scheduled windows the semester prior. Within these periods, you will be assigned specific registration appointment times. Students often register by hierarchy during registration periods as established by each school. Some schools determine appointment distributions by class standing, others by random selection. You must be registered for at least one class prior to the first day of classes each term.
Waitlists and Course Changes
Classes in Vergil may have an Autofill or Instructor Managed Wait List. Class sections with autofill wait lists will allow students to register until all seats are filled and the class status is set to Full. Instructor Managed Wait Lists require that all students join the wait list. Students can add and/or drop courses using Vergil during the Change-of-Program Period. Students in the MD program at VP&S use a system called Oasis for course registration.
Student Service Centers: Your Resources
The Office of the University Registrar directs and maintains two Student Service Centers that support and enhance the student experience:
- Morningside Student Service and ID Center: Responsible for inquiries relating to course registration and enrollment, academic transcripts and certifications, student accounts, tuition assessment and fees, and refunds. The ID Center directs and manages comprehensive ID Card services for all Faculty, Students, and administrative staff on the Morningside campus.
- CUIMC Registration and Enrollment Services: Located on the Medical Campus, this center manages registration activity as well as enrollment and withdrawal processing for Medical campus students.
Data Reporting and Regulatory Compliance
The Office of the University Registrar plays a critical role in ensuring the accuracy and integrity of student data and complying with federal and state regulations.
Reporting Responsibilities
The Office of the University Registrar is responsible for the submission of enrollment and degree data and summaries to both federal and state reporting agencies. In addition, the Office is responsible for the preparation and submission of enrollment and degree data to the National Collegiate Athletic Association and the National Student Clearinghouse.
