Navigating the Gwynedd Mercy University Portal: A Comprehensive Guide

Gwynedd Mercy University (GMercyU) provides a comprehensive online portal to help students manage their academic journey, financial obligations, and access essential resources. This article serves as a guide to understanding and utilizing the various features and functionalities available through the GMercyU portal.

Registrar's Office: Your Academic Compass

The Registrar's Office is a crucial resource for students at GMercyU, dedicated to helping them stay on track for graduation. They provide support and guidance on various academic matters, including registration, transcripts, and degree verification.

Course Registration

Students can access course schedule information through Colleague Self-Service without needing to log in. The Summer and Fall 2026 Online Registration Guide (PDF) provides important registration dates. Your registration date is determined by your class level, which can be found on your Unofficial Transcript in Self-Service under the “Total Credits” column. Total credits include both transfer credits and those earned at Gwynedd.

Advisor Approval: Meeting with your advisor prior to registration is mandatory. It is crucial that your advisor approves all your courses before registration opens.

Pre-requisites and Co-requisites: The system enforces pre-requisites and co-requisites, preventing registration if the criteria are not met. The Course Catalog provides detailed information on these requirements. If you are currently enrolled in a course that is a pre- or co-requisite, the system will allow registration, assuming successful completion of the course.

Waitlists: A waitlist is available for sections in Main Campus programs that are closed. The system will prompt you to join the waitlist or choose another section. You can be on multiple waitlists for the same course. The waitlist closes before the first day of classes, after which enrollment is only possible in open sections via Colleague Self-Service. If a course is closed, consult with your advisor for alternative options.

Registration Reminder: Students in Main Campus programs cannot register for online courses and vice versa.

Important Notices and Policies

Final Exam Schedule: The Fall 2025 Final Exam Schedule (PDF) applies to Term (day courses only, excluding ABSN) for which a final exam is required.

FERPA: The Family Educational Rights and Privacy Act of 1974 (FERPA) protects the privacy of student education records. It grants students the right to inspect and review their records and provides a process for correcting inaccurate or misleading data. To prevent disclosure of your educational records to parents or other concerned parties, you must submit written notification to the Office of the Registrar by the end of the Drop/Add period during the fall or spring semesters. This notification remains in effect until rescinded in writing. A "FERPA Release" form is available via Self-Service for students who wish to allow GMercyU to discuss their educational or Financial Aid and Student Billing records with parents or other concerned parties. Students may also print their own "Grade Report" from Self-Service to send to parents or employers.

Transcripts and Graduation

Transcripts can be ordered online using a credit card. Requests are issued under the name currently on record. If you are expecting to graduate, you must submit a graduation application, which can be found under the "Graduation Overview" tile on Colleague Self-Service. The 2024-2025 Graduation Information (PDF) document provides details on diploma information and deadlines. Contact the Academic Affairs Office for questions regarding diploma distribution. If you submit the graduation application but are ineligible to graduate, you must re-submit the form the next term in which you become eligible.

Enrollment and Degree Verification

Gwynedd Mercy University has authorized the National Student Clearinghouse to provide enrollment and degree verifications.

Act 45 and Act 48 Credits

Act 45 of 2007 concerns professional development requirements for school leaders. If you are in a position requiring Act 45 credits, you can submit a request to the Registrar’s Office to have eligible courses submitted. Gwynedd Mercy University will only submit courses that fulfill the requirement, up to a maximum of six credits, in the order they are received.

Act 48 requires Pennsylvania professional educator certification holders to complete 6 credits of collegiate study every five years. If you want your GMercyU education courses (since January 2000) submitted to the Department of Education, complete and submit the required form. The same restrictions apply: no more than 6 credits will be accepted, and courses taken for audit will not be accepted. A financial hold on your account will prevent submission.
