Student Employment at Moravian University
Student employment offers valuable opportunities for students to gain work experience, develop skills, and contribute to the university community. Supervisors play a crucial role in guiding and supporting student employees.
Supervisor Responsibilities
As a student employment supervisor, you’ll be working closely with students. To ensure a positive and productive experience, supervisors should adhere to the following guidelines:
- Establish Clear Expectations: Review your office rules and code of conduct, as well as your expectations with your student employee(s). Office hours, procedures for calling out, dress code, use of space, and personal conduct are all important issues that should be addressed with your student(s) within their first week of work.
- Create a Work Schedule: Establish a work schedule with your student employee(s). All student employee hours, regardless if they are work-study students or not, will directly hit your student-wages budget so please plan your student’s hours accordingly to not exceed your budget. Work with the student to establish a schedule that works for both the student and your office needs. Students are not permitted to work during any scheduled class times. The last day that a student can work is the last day of their exams for the given semester.
- Understand Hour Restrictions: Please be aware that although the scheduling of hours can be flexible, it’s not advised to work more than 20 hours per week while school is in session. If your student worker is a Non Resident Alien and here on an F-1 Visa, they cannot legally work more than 20 hours per week during the academic year (and no more than 40 hours during the summer).
- Winter and Summer Break Employment: Students are permitted to work during the Winter Break with your approval. During this time they can work up to 40 hours a week (while class is not in session). Students are permitted to work during the Summer Break with your approval as long as they have not already graduated. During the summer, they’re permitted to work up to 40 hours per week with the permission of their supervisor. Students are not permitted to work remotely during the summer and winter break.
- Time Keeping: Students will clock in and out for your position through Oracle. You’ll be able to see student time cards under My Team > Team Time Cards. Time cards will need to be approved every other Monday. You can find the approval due dates on the Student Pay Schedule. The Student Pay Schedule can be found in AmosLog in > Administrative Services > Business Office > Payroll Many students work in multiple departments. Your approval will only approve hours they have worked for you, however, you’ll be able to see their hours for other departments. If you make any edits to a student’s timesheet, please be sure that you’re only editing the line for your position. Instructions for how to edit and approve timesheets can be found on the Payroll page in Amos (Amos > Administrative Services > Business Office > Payroll).
- Addressing Student Well-being: We encourage all supervisors to review the resources for faculty and staff to assist a student in distress should they need additional assistance. If a student appears to be struggling with their classwork, you can refer them to Academic Support. If you observe a student who is displaying signs of mental health concerns, you can refer them to Counseling and Psychological Services (CAPS). If the student’s behaviors or situation appears to be particularly concerning, you should complete a SHARE Report or contact Campus Police if there’s an immediate issue.
- Addressing Performance Issues: Students can be terminated if they’re not performing to your expectations. In the event that performance issues arise with the student, the supervisor should discuss any work-related concerns with the student as soon as possible. Inform the student of your dissatisfaction with their performance, refer to the job description and expectations and clearly define the areas that need to be addressed. Offer the student suggestions on how they may improve performances and establish a fair and equitable time period for correcting the problem. If applicable, notify students that their job may be in jeopardy. Be sure to document any performance-based conversations that you have with the student. The Office of Human Resources will be a proactive and strategic partner in serving the Moravian University Community in the planning, development and implementation of human resource policies and procedures that support the vision and educational mission of Moravian University, Moravian Theological Seminary and Lancaster Theological Seminary.
