Navigating NCAA Media Credential Requirements: A Comprehensive Guide

Gaining access to NCAA sporting events as a media member requires understanding and adhering to specific credentialing policies. These policies, while varying slightly from institution to institution, share common threads designed to ensure appropriate access and maintain the integrity of the events. This article aims to provide a comprehensive overview of NCAA media credential requirements, drawing upon examples and guidelines from various universities and the NCAA itself.

General Principles of NCAA Media Credentialing

Credentials are only issued to accredited members of the working media. Admission will be granted to media members holding a credential for the sporting event taking place. A working credential issued by an athletic organization serves as a revocable license and is extended as a professional courtesy to an accredited media organization for the sole purpose of granting venue access to an individual representative of that organization who has a legitimate, event-related work function for the specific event covered by this credential. Access to working areas - including the press box, field level, photo wells, and interview spaces - is restricted to credentialed media members actively performing a professional duty.

Application Process and Deadlines

The first step in obtaining media credentials is understanding the application process and deadlines. Requests for credentials should be directed to each sport’s respective communications director. Applying for media credentials does not grant you automatic media access to events. It is crucial to adhere to deadlines, as all deadlines for credential applications for some events may have passed. For instance, single-game credential applications for the football season might open on a specific date each week.

Eligibility and Accreditation

Credentials are issued exclusively to working media personnel. The University of Maryland issues media credentials under specific priorities. Season media credentials are issued to those organizations that report on intercollegiate athletics on a regular and substantial basis, as outlined above.

Restrictions and Conduct

Acceptance of a credential constitutes agreement by the bearer and their employer or assigning organization to abide by the terms and conditions and the conditions set forth in the media access regulations distributed by the university in connection with the event. The bearer is expected to conduct themselves with respect and decorum at events and when covering teams. Harassing or inappropriate conduct aimed at student-athletes or employees of the university at an event, in print, or in a digital space will not be tolerated, and the bearer may face punitive action up to a revocation of a credential.

Spouses, children, and guests are not permitted in the press row area. Media may not sit in courtside seats.

Specific University Examples

Notre Dame

Notre Dame does not credential freelance photographers for home football games. Notre Dame only provides credentials to radio stations who are part of the Notre Dame Football Radio Network. All credentialed media members must enter Gate 1 of the Joyce Center for access to the game.

Georgetown University

The Georgetown University Athletics Communications office serves as the intermediary between GU's 30 programs and local, regional, national, and international media outlets. For men's basketball, space in the lower bowl will be provided to the official station of each visiting team and will be limited to three seats. Since there can only be one official station for any given team, seating for additional radio stations must be arranged in advance.

University of Maryland

The University of Maryland Athletics media relations office is responsible for administering this policy. Credential requests must be made by sports editors or sports directors no later than five days prior to an event. No credentials will be issued to individuals under the age of 18. University personnel may deny or revoke credentials without notice, and an individual shall surrender his/her credential upon request.

Georgia State Athletics

All on-field/court photographers are required to wear a Georgia State issued media vest while on the playing field. If granted on-field/court photography access, photographers should pick up a media vest in the press box (Football) or in the media room (basketball), starting 90 minutes before kickoff (football) and 60 minutes before tip off (basketball). Individuals who do not adhere to the policies and procedures put in place by Georgia State Athletics can have their media vest/ on-field access revoked at any time.

NCAA Regulations and Compliance

The NCAA has developed a list of required actions and forms that must be completed or submitted on an annual basis by administrators, coaches, and student-athletes. This resource was created to consolidate the various actions and forms into a single, central location for use by Division I members. Institutions will provide demographic and contact information for administrators and head coaches.

NCAA Stance on Ambush Marketing

Broadcast stations often conduct promotions tied to these tournaments and individual games. The NCAA protects its copyright and trademark rights associated with NCAA tournaments and championships and licenses its trademarks, logos, designs, and protected terminology for substantial fees. Only licensed parties are allowed to use this intellectual property. Activities that create the appearance of a relationship between the NCAA (and its tournaments or championships) and a broadcast station or its advertisers are known as “ambush marketing” and are extremely risky. Any unlicensed use of NCAA intellectual property for the sale or promotion of a product or service is unlawful and can expose a broadcast station to claims of trademark infringement, unfair competition, and false advertising.

Special Considerations for NBA Scouts

Some institutions, like Notre Dame, extend specific invitations to NBA scouts. Any official NBA scout is welcome to Purcell Pavilion with a complimentary media credential.

Consequences of Non-Compliance

University personnel may deny or revoke credentials without notice, and an individual shall surrender his/her credential upon request for: noncompliance with the priorities or guidelines set out in this policy; noncompliance with health, safety, or security directives issued regarding University athletic events; violations of University, Department of Intercollegiate Athletics, NCAA, or Big Ten policies; and for conduct for which there are reasonable grounds to believe violate state or federal law, or constitute a breach of professional ethics. Unauthorized use of a credential may result in removal from the facility and possible legal action, including prosecution for criminal trespass.
