On-Campus Addresses

For students residing in University Housing and Dining Services (UHDS) facilities, finding your specific address is easy. Simply visit the Housing Portal and log in to access your assigned address. Package deliveries can be claimed during the open hours of the UHDS Service Centers. Check your Service Center to view its weekly hours and location on campus.

Off-Campus Shipping

When shipping items to off-campus addresses, it's crucial to document the business purpose and reason for shipping to the off-campus site. This documentation should be kept with your purchase record. When using a P-Card to purchase OSU business-related items for delivery to a UO employee home address, attach off-campus delivery documentation to the appropriate expense line in Concur.

Shipping Regulations

Adhering to shipping regulations is essential for smooth processing. Dangerous goods labels or markings on packages must be completely covered; crossing them out with a pen or marker is not permitted.

UHDS provides convenient printing access with OSU BeaverPrint printing stations located in each of its three Service Centers.

Addressing and Mailing Guidelines

Address Standardization and Verification

Ensuring accurate and standardized addresses is critical for efficient mail delivery. OSU Postal Services utilizes several tools to achieve this:

  • CASS (Coding Accuracy Support System): CASS examines an address and appends ZIP+4 if possible. Addresses in your list will be standardized according to USPS specifications.
  • DPV (Delivery Point Validation): DPV takes CASS a step further by comparing each address to the current National DPV directory, a table of every valid delivery point for every street in the US. DPV, also a USPS requirement.
  • NCOA (National Change of Address): The USPS keeps a database of all those who fill out a Change of Address form when they move. Fields containing name and address info will be compared. It is a secure dataset of approximately 160 million permanent change-of-address (COA) records consisting of names and addresses of individuals, families and businesses who have filed a change-of-address with the USPS. The addresses in the database are specifically designed to match the USPS requirements.

Deduplication

To avoid duplicate mailings, OSU Postal Services employs a deduping process. Note: The deduping process looks for EXACT matches. If there is any variation between the names or addresses of two records, the duplicate will not be removed. Also, only the first record will be maintained.

USPS No-Print Zones

When designing mail pieces, avoid putting any design elements in the specified USPS no-print zones.

Mailing Formats

The format you choose sets up the way your message is presented. Once you have your situation clearly defined, choose the format that will best satisfy your goals. Databases come in all different formats including required address fields or variable data fields.

Mail Delivery Times

Locally, first class mail will typically be delivered in 1-3 days and nationally; all of it should be delivered in about 4 days. There is NO guaranteed delivery time, only “typicals”.

Presorted Mail

It’s handled with the same first class priority processing, but to receive the lower postage rate, the addresses must be NCOA address updated, CASS certified, and put in to a presort order. It also allows up to 3.5 ounces, all for the same low postage rate.

Additional Services

ID Cards

Lost or stolen ID cards should be immediately reported to the OSU-Cascades Public Safety to protect your card account from unauthorized use. The replacement fee for a lost or damaged card is $30. Please note that we do not print cards for eCampus students. Staff and faculty may request access to specific offices or areas on campus not already assigned to your ID card.

Key Issuance and Move-Out Assistance

OSU issues keys to students for their room for their contract period. If you are moving out (either during the year, or at the end of the year) they can assist with that process. If moving out, contact your resident director.

Newspaper Distribution in Dining Centers

Each Dining Center lobby offers limited space on a first-come, first-served basis, for the distribution of newspapers (including magazines and other periodicals) for OSU Student Organizations. Newspaper staff are responsible for stocking and maintaining order and cleanliness of bins/racks. Newspapers must be distributed in bins or racks, in locations determined by UHDS, that do not create fire/life safety hazards or obstruct entrance and exit ways. Bins/racks must be free standing and in good condition, as determined by UHDS. Distribution of newspapers must coincide with printing schedule, as posted on bin/rack. Bins/Racks left empty for more than 30 days are subject to removal.
