Tuition and Payment Options

Payment Methods: Payments can be made via credit card, check, automatic withdrawal, or cash.
Payment Plans: SWS offers flexible payment plans, including monthly (10 or 12 months), semi-annual, and annual options. Note that a 12-month payment plan is available only for Tuition Agreements completed by July 1, and a 10-month plan must begin no later than September 1. Tuition Agreements signed after the start of the school year will offer payment plans that allow all payments to be completed by the end of the school year.
Sibling Discount: To ease the financial burden for families with multiple children, SWS offers a sibling discount: full tuition for the oldest child, a 15% discount for the second child, and a 25% discount for subsequent children. Receipt of the Sibling Discount is conditional upon continued attendance of the sibling(s). Should a sibling withdraw or enter during the school year, the sibling discount will be adjusted.

Tuition Protection Insurance

To protect families from unforeseen circumstances, Sacramento Waldorf School offers Tuition Protection Insurance (TPI). This insurance creates a fund that protects families in the event of early withdrawal. In such an instance, 60% of the remaining balance of tuition is refunded or credited if a student withdraws from the school for any reason (including illness, instances in which a child’s behavior is an infraction of school rules, or when Parent(s)’/Guardian(s)’ default requires withdrawal). Parent(s)/Guardian(s) are responsible for the remaining 40%. Partial weeks will be calculated as whole weeks.

The TPI fee is 1.5% of the annual gross tuition and is charged separately, due July 1. However, families choosing an annual or semi-annual payment plan may elect to waive the TPI Fee. By waiving the TPI fee, Parent(s)/Guardian(s) agree to be 100% responsible for any outstanding balance in the event of early withdrawal.

Application Process: Families seeking tuition assistance for the 2025-26 and 2026-27 school year can apply online through FACTS.
Application Fee: A $45 application fee is required for each family applying for tuition assistance.
Required Information: The application requires detailed information about income, savings, assets, home mortgage or rent, and other factors relevant to a family's ability to afford tuition, including details from the previous tax year. Families may also submit a letter detailing additional information about their financial status or circumstances that may impact their ability to pay the full tuition. Send the letter to the Business Office. When the requested tax forms arrive, such as W2s or 1040s, log back in and upload them.
Review Process: Application data is reviewed by a small, confidential tuition assistance committee within the school. On occasion, a follow-up interview may be required.

Understanding Tuition Assistance Awards

Award Range: Awards typically range from 10% to a maximum of 50% of tuition.
Factors Considered: Awards are based on demonstrated need (income, debts, and reasonable expenses), the child's grade level (with generally lower awards in Preschool and higher awards in high school), and any exceptional circumstances such as unusual medical expenses.
Sibling Discount and Tuition Assistance: Tuition assistance awards are calculated after deducting any relevant sibling discounts.

Responsibilities of Tuition Assistance Recipients

Recipients of tuition assistance are expected to make timely tuition payments a priority. Any offer of an award is contingent on the tuition account from the current year being in good standing. The school may offer an award if there is an approved payment plan in place for an unpaid balance and a demonstrated ability and intention to honor the plan’s terms.

Non-Discrimination Policy

Tuition assistance is based solely on a family’s ability to contribute toward educational expenses, without regard to race, gender, religion, national origin, or other non-financial circumstance. Sacramento Waldorf School prohibits unlawful discrimination against any protected group as identified under Education Code 200 and 220 and Government Code 11135, and Title IX, including actual or perceived sex, sexual orientation, gender, ethnic group identification, race, ancestry, national origin, religion, color, mental or physical disability, age, or on the basis of a person’s association with a person or group with one or more of these actual or perceived characteristics in any SWS program or activity that received or benefits from state financial assistance, including athletic programs.

Appealing a Tuition Assistance Decision

If a family believes there were overlooked circumstances or that the child will be unable to attend the school with the offered award, they can submit a written appeal within 7 days of receiving the tuition assistance decision letter.

Additional Fees and Charges

In addition to tuition, families may encounter additional fees and charges:

Late Payments/Insufficient Funds: Payments not received within ten days of the due date are subject to a late fee from Veracross and an 18% APR finance fee by SWS.
Activities and Supplies: Fees for some activities, instrument rental or purchase, and music lessons may apply. The amount of these fees varies and are announced as they occur. When necessary, the school may recommend and expect a student to receive tutoring, external consultations, or special services which the school does not provide.
Extended Day Program: An optional fee-based program is available for students in Preschool, Kindergarten, and First through Eighth Grade, operating in the afternoon after classes on school days only.
Flutes and Recorders: Pentatonic flutes are required for First Grade, diatonic flutes for Third Grade, and recorders for Sixth Grade. The school purchases the instrument (typically between $40 and $90) and bills the family, unless notified otherwise before June 1.
Sports Fee: A sports fee is charged to families of Sixth through Twelfth Grade students who participate in team sports, to offset the costs of sporting equipment, league dues, officials, and coaching.
