UCF Student Union Event Services: Your Guide to Campus Engagement

The UCF Student Union, known as the “Heart of Campus,” is central to the University of Central Florida’s Orlando Campus. It's designed as a hub for the UCF community to study, socialize, eat, host events, attend meetings, celebrate traditions, and actively engage in campus life. The facility houses many university departments, provides access to key student services, and offers collaborative spaces for students to connect.

The Student Union's Mission

The UCF Student Union strives to create an innovative and inclusive environment acting as a catalyst for campus engagement.

Reserving Space on Memory Mall and the Reflecting Pond

The Student Union facilitates reservations for key outdoor spaces, including Memory Mall and the Reflecting Pond. Memory Mall is the large grass area located between the Student Union and the Addition Arena.

Memory Mall Reservations and the SAFE Form

All events scheduled at Memory Mall require the completion of a SAFE (Student Activities and Events) Form. This form is crucial for ensuring event safety and compliance with university policies.

SAFE Form Deadline

The completed SAFE Form must be reviewed by the Student Union Event Services office 20 days prior to the event date. Failure to submit the form within this deadline will result in the release of the space hold for your event.

Essential Services: Work Orders for Facilities Operations

For essential services like power, water, sprinkler adjustments, and trash removal, a work order must be submitted to UCF Facilities Operations through their online Event Services Request System. It's important to note that these services are separate from the space reservation and may incur charges to the responsible department or organization.

Policies Regarding Memory Mall and Reflecting Pond

Before submitting a request form, it is essential to carefully read the policies pertaining to Memory Mall and Reflecting Pond reservations. These policies ensure the responsible and appropriate use of these spaces.

Catering Policies for SU-Controlled Facilities

Clients planning to have food and beverage at their events in any SU-controlled facility must order catering through a Student Union-approved vendor. Home-cooked goods, store-bought food or drinks, and outside catering are strictly prohibited.

Approved Vendor List

A list of approved vendors can be found in the “Helpful Documents” section of the Student Union website. This list provides a range of options to meet the diverse catering needs of events held within the facility.

SU Policy Manual

More detailed information regarding the Student Union catering policies can be found in the SU Policy Manual. This manual serves as a comprehensive guide to all policies and procedures related to event services within the Student Union.
