UCLA Recreation Center Reservation System: A Comprehensive Guide

Programming in On-Campus Housing Facilities

Residential Life collaborates with UCLA Housing, Catering, and Conference Services to schedule and utilize venues for programs and events that benefit the On-Campus Housing community. These events are free for residents, as the venues are funded in part by resident fees.

Co-Programming with Residential Life

Registered Campus Organizations (RCOs) can co-program with Residential Life, which can include virtual or in-person events. Co-programming requests can be submitted with the Office of Residential Life, and only event proposals suggested for specific weeks will be reviewed.

Conditions for Co-Programs

  • The Residential Life programmer is responsible for the program, and all programmers must share a complete understanding of the program from beginning to end.
  • The Residential Life programmer helps to execute the program proposal and may adapt or cancel a program to meet the needs of the On-Campus Housing Community and appropriately utilize resources.
  • The Residential Life programmer and co-programmer must attend the entire event, including setup, breakdown, and rehearsals.
  • The Residential Life programmer is responsible for coordinating all publicity and logistics and ensuring that accrued charges are paid via agreed-upon funding sources.
  • A registered student organization co-programming with Residential Life is expected to consult with their campus advisor before, during, and after the co-program. The Residential Life programmer partnering with a registered student organization is responsible for ensuring the non-Residential Life programmer has consulted and informed their campus advisor(s) about the co-program.
  • All communication regarding events should include the SOLE advisor(s) and signatory.
  • Residential Life co-programmed events will not be charged for the use of space on the Hill. However, charges may accrue for the logistics of the program (including equipment rentals, food orders, linens, etc.).
  • All publicity should state that the sponsoring Residential Life entity is the co-programmer of the event. All forms of publicity must list the Residential Life programming group/entity with at least equal (if not greater) billing, in type no smaller than the non-Residential Life programmer, and situated in a no less visible location.
  • The program must be publicized to the residential community and open to residents of On-Campus Housing, following OCH Rules & Regulations.
  • Funding for co-programmed events should explore a broad range of diverse funding opportunities beyond Residential Life.
  • UCLA Dining Services and/or UCLA Catering shall be the sole provider of any food or refreshments in designated areas to ensure the safe preparation and handling of food. Outside food requests must be submitted for all public venues.
  • All On-Campus Housing and University policies are to be followed, as outlined in the On Campus Housing Regulations.
  • All donations and corporate contributions/sponsorships of any kind must be reviewed by Residential Life and cannot be accepted for the program unless approved, and any publicity or recognition stipulations must be upheld.
  • Any feedback regarding a co-programmed event will be shared with the Funding & Advisory Board, which may reference past feedback when reviewing future co-programming proposals.
  • The Funding and Advisory Board considers applications based on the needs of the communities, focusing on how the event will positively impact students on the Hill.
  • Virtual engagement support from Res Life includes logistical and technical support, but content creation is the responsibility of the student organization.

Proposing a Co-Program

To propose a co-program, submit a program proposal to the Residential Life Funding and Advisory Board. The Funding and Advisory Board will review proposals in consideration for co-programs and will refer qualified proposals to other Residential Life programming staff when appropriate. Room Setup, Cleanup, and Other Requirements

  • Furniture arrangement, A/V equipment, signage, and decorations must be planned and communicated to Residential Life Program & Event Management by the Residential Life programmer in advance of the program. These plans may be subject to UCFD approval.
  • General cleanup is expected to be conducted by all programmers, including removing decorations and food waste. Any resulting cleanup or damage charges will be billed to the appropriate party.
  • For programs with outside artists, performers, or vendors, Residential Life will expect to have a University Performance Agreement executed and approved by UCLA Insurance & Risk Management. Proof of insurance is also required or an appropriate waiver arranged as per IRM guidelines.
  • Parking permits for designated areas may be purchased at a Parking Information Booth or at a Park & Pay Kiosk. Parking passes or courtesy parking should be provided for any special guests or talent. Parking permits are made only to external vendors, NOT students or staff members.
  • In order to receive funding, recipients must follow UCLA Policy 809: Single-Use Plastics, which is to eliminate single-use plastics and explore ways to recover all edible food to be re-served to the campus community in combating food insecurity.

Non-Residential Life Programs

Not all events in the On-Campus Housing community are Residential Life Co-Programs. UCLA Catering and Conference Services coordinate events on the hill for a variety of paying clients, including both University affiliates and outside entities. UCLA Recreation oversees the Sunset Canyon Recreation Center and other locations on the hill. Non-Residential Life programmers may program independently in On-Campus Housing or adjacent venues.

Marina Aquatic Center (MAC)

UCLA Recreation oversees the Sunset Canyon Recreation Center and other locations on the hill, including the Marina Aquatic Center (MAC). The MAC is open to UCLA students, staff, faculty, and the community for equipment rentals.

Equipment Rentals

The MAC offers equipment rentals on a first-come, first-served basis for:

  • Single and double sit-on-top kayaks
  • Stand up paddleboards
  • Laser sailboats
  • RS Quest sailboats
  • RS Vision sailboats
  • Rowing shells
  • Sea touring kayaks

Reservations are not required or offered for groups less than 10 people.

Free UCLA Student Kayaking

The free kayaking program is restricted to currently registered UCLA undergraduate and some graduate students. Students enrolled in a UCLA Self Supporting Degree program, extension program, graduate resident or post-doc program, are not eligible at this time.

Requirements for Free Kayaking

Before renting kayaks, currently enrolled UCLA students need to enroll in the free MAC Student Kayaking Membership from the UCLA Recreation webstore. This membership will need to be renewed quarterly to confirm eligibility. Students with this membership may bring non-student guests to share a double kayak, but will need to purchase a MAC Student Kayaking Guest Pass for $5 in the Multi-Visit pass section of the UCLA Recreation Webstore. If the non-student guest wishes to take their own single kayak, they will need to pay full price following the community guidelines.

Student Kayaking Groups

Reservations are required for kayak groups of 10 or more individuals and should be made at least one week in advance using the Kayak Group Reservation Requests form.

Prerequisites for Equipment Rental

  • Swim Requirement: All members/renters must be water safe and able to meet a minimum swim requirement of swimming at least 100 yards and treading water for at least 5 minutes.
  • Facility Policy: All members/renters must agree to and abide by all posted facility policy and are required to follow staff instruction.
  • Orientation Video: Double and Single Sit-on-Top Kayaks may be rented without taking a class, however must watch the kayaking orientation video before first rental or if a year has passed between rentals. It is advised to call before renting to confirm there are no weather restrictions or schedule disruptions.

Rental Hours and Timing

There will be no rentals before posted opening time, the last rental must launch 30 minutes before end of rental period, and the facility (including yard and parking lot) closes 30 minutes after rental hours. Renters are responsible for maintaining the time of their reservations.

Qualification Prerequisites

  • Double and Single Sit-on-Top Kayaks: No class required; must watch kayaking orientation video before first rental or if a year has passed between rentals.
  • Stand Up Paddleboard: No class required; must watch SUP orientation video before first rental or if a year has passed between rentals.
  • Sailboats, Rowing Shells, Sea kayaks: Must complete an Intro course at the MAC or request a skills evaluation orientation (SEO) with transferrable outside experience.

Participants must be 18yrs+ to rent their own equipment. Youth guests must be accompanied by an adult and must be a minimum of 50lbs.

Pricing and Payment

Multi-Visit Rental Passes or MAC Rental Membership must be purchased online before renting.

Multi-Visit Rental Passes

Rental passes can be purchased in packages for 1, 5, or 10 visits, with each visit being valid for a maximum 90-minute rental visit. Passes can be used for stand up paddleboards and sit-on-top kayaks without taking a class, but renters must watch an orientation video before their first time or if a year has passed between rentals. Qualified renters can also use passes for rowing shells, sailboats, sea touring kayaks.

MAC Rental Membership

This 3-month membership allows the pass holder an unlimited number of rentals within open rental hours. Rental Membership holders are eligible to rent any equipment they are qualified on, including sit-on-top kayaks and stand up paddleboards which have no prerequisite.

Required Steps Before Renting

All equipment rentals are available on a first-come first-served basis; reservations are not required or accepted. Before renting at the facility, there are 3 required components:

  1. Have an active and accurate account/profile in the UCLA Recreation system.
  2. Complete payment and waivers online in the UCLA Recreation webstore with either a Multi-Visit Pass or Rental Membership.
  3. Review facility policies, ensure proper certification requirements have been met, and/or watch required safety orientation videos (for sit-on-top kayaks and stand up paddleboards).

Getting to the Facility

The Marina Aquatic Center is located at 14001 Fiji Way, Marina del Rey, CA 90292. Parking at the MAC is limited and available on a first-come, first-served basis for patrons of the facility.

Check-In Process

A BruinCard or Photo ID is required to rent and will be held by the dockmaster for the duration of the reservation. Small cell phone lockers are available to store some valuables during a rental, but all other personal items should be stored either in your locked vehicle or in the locker room (locks not provided).

GroupX Fitness & Yoga Pass

UCLA Recreation offers a GroupX Fitness & Yoga Pass for both in-person and virtual classes. This pass provides access to a variety of classes, including Mat Pilates, Spin, Power Yoga Flow, and more.

Purchasing a GroupX Pass

  • Purchase a GroupX In-Person pass on Recreation Memberships. This pass will also include virtual classes.
  • UCLA staff and faculty can register for the Virtual GroupX for FREE as part of the FITZONE membership.
  • If you are not a staff member and want the virtual-only pass, purchase the Virtual Only GroupX Pass.

Registration Instructions

  1. Visit the UCLA Recreation Program Registration web page.
  2. Log in or sign up for an account.
  3. Click on "Purchase Memberships" category.
  4. Select the pass you would like to register for and follow instructions to complete the transaction.
  5. Save your spot for any in-person classes you plan to attend. Class reservations for each class open 1 day (24 hours) in advance.
  6. Cancel any reservation for any class you are no longer planning to attend.

Event Space Reservations

UCLA Recreation manages a variety of the University's recreational and athletic facilities offering recreation, sport, and numerous multi-use options for student and university events. This includes indoor and outdoor spaces such as Sunset Recreation, the Los Angeles Tennis Center, the Wooden Center, and Pauley Pavilion.

Reservation Process

  1. Signatories need to create an account with Recreation prior to making reservations.
  2. View available spaces and reserve spaces through the Recreation Online Reservation System.

General Guidelines

  • Any event considered potentially harmful to the public image of UCLA will not be allocated space.
  • The scheduling of events will be based on facility availability and approval by UCLA Recreation Sports Venues and Event Operations.

Request Timeline

  • UCLA Registered Campus Organizations and UCLA Departments:
    • Meeting Rooms/Studios: 5 business days

  • Off-Campus groups and individuals: All spaces 30 business days

Memberships & Facility Access

UCLA Recreation offers various membership options for students, faculty, staff, alumni, and community members.

Facility Access by Affiliation

  • UCLA Students: JWC, Drake Stadium, Pools, SCRC, and Tennis Courts. BFIT access is available to Undergraduate students. KREC access is available to Graduate students.
  • UCLA Faculty & Staff: JWC, KREC, Drake Stadium, Pools, SCRC, and Tennis Courts.
  • UCLA Emeriti & Retirees: JWC, KREC, Drake Stadium, Pools, SCRC, and Tennis Courts.
  • UCLA Alumni: JWC, Pools, Drake Stadium, SCRC, and Tennis Courts.
  • Community: JWC, Pools, Drake Stadium, SCRC, and Tennis Courts.

Family Memberships

Family membership is available for two adults and up to four minors (0-17 years old, SCRC access only). Membership is required for all ages, including infants.

Household Adult Memberships

Household adults can purchase a membership at the same rate and get access to the same facilities as the primary Rec member.

UC Reciprocity

UC Reciprocity is a partnership between all University of California Campus Recreation departments that allows all UC students, faculty, and staff who have an active Campus Recreation membership to utilize recreation facilities across all UC campuses for free for up to 7 days.

Lockers

Lockers are available on a first-come, first-serve basis and are not guaranteed. An active Recreation membership is required to purchase and maintain a locker rental.

Bookings

Bookings open 72 hours in advance of each time slot. Must be an eligible UCLA affiliate with an active student membership or Recreation membership to make a Booking. Bookings that cannot be attended must be canceled no later than 60 minutes prior to the start time.

Cancellations and Refunds

For all Recreation cancellation and refund requests, a Cancellation Request Form is required. Refund requests are subject to department review. There are no refunds for quarterly activity passes, no exceptions.
