UCLA Volunteer Dashboard Guide: A Comprehensive Overview

The David Geffen School of Medicine at UCLA (DGSOM) recognizes the importance of service and extends its commitment beyond the campus. This commitment is reflected in initiatives like the DGSOM Anti-racism roadmap, a collaboratively created plan to ensure racial justice, equity, diversity, and inclusion. UCLA Health mirrors this dedication by providing equitable healthcare to all patients, irrespective of their sexual orientation, gender, race, or religion. They believe that a diverse and inclusive healthcare workforce leads to improved patient care, service, and health outcomes. This guide provides an overview of the UCLA Health Sciences volunteer program's online resources, particularly the volunteer dashboard, and related procedures. It compiles available information for active and registered UCLA Health Sciences Volunteers (and UCLA SRP Students if applicable).

Accessing the Volunteer Dashboard

All UCLA Health and Health Sciences volunteer programs utilize the Samaritan Volunteer Login/Dashboard. Keeping track of volunteer status is a requirement for all volunteers via this dashboard.

Types of Dashboards

There are two primary dashboards:

  • Volunteer Onboarding Dashboard: This dashboard is specifically for applicants applying to a volunteer program. A visual guide is available for assistance.
  • Volunteer Compliance Dashboard: Active volunteers who are not currently applying to another program use this dashboard. A visual guide is also available for this dashboard.

Essential Resources and Procedures

Personal Device Usage and Remote Duties

Volunteers who use their personal devices for volunteer duties must complete the Volunteer Personal Device Form. It's important to note that remote volunteering is generally not permitted during normal operations. Only certain remote duties are allowed with prior approval from the Volunteer Office. Volunteers must also adhere to the Volunteer/SRP Guidelines for UCLA Health Sciences Remote Duties when using personal devices. Additional access guidelines can be found in the Remote Volunteer Guidelines. Remote volunteering is only permitted as part of a hybrid schedule that includes both onsite and remote work; fully remote volunteering is not allowed.

Leave of Absences (LOA)

Volunteers can request a Leave of Absence (LOA) for excusable reasons, with a duration of 90-120 days. Upon return from an approved LOA, volunteers are not required to repeat the clearance process. While volunteers are not obligated to disclose the reason for their leave to the Volunteer Office, it is advisable to inform supervisors, who must approve the 90-120 day leave before the Volunteer Office is contacted to place the LOA. For UCLA Health Sciences volunteers specifically, badges do not need to be returned during the LOA. However, the badge cannot be used for any purpose unless the volunteer is active in another volunteer program. Volunteers must notify the Volunteer Office upon their return to reactivate their status. LOAs can be requested via the "Request Leave" option in the Volunteer Compliance Dashboard.

Updating Compliance Requirements

Maintaining up-to-date compliance is crucial for active volunteers.

  • TB Requirements (Clinical Volunteers Only): Clinical volunteers are required to update their TB test information via the Volunteer Compliance Dashboard. If a new TB test needs to be uploaded, verification is required before the compliance status can be updated.
  • Annual Trainings: Volunteers must complete online annual trainings through the Volunteer Compliance Dashboard.
  • Worksafe: Volunteers must adhere to current UCLA Health COVID Guidelines and Protocols such as masking, physical distancing, hand hygiene, and any updated requirements. The Worksafe online learning management system is generally accessible to anyone.

Assignment Updates

Supervisors are responsible for updating the Scope of Duties form if there are any changes to a volunteer's role or access.

Lost or Stolen Badges

Lost or stolen badges must be reported immediately for security reasons. A replacement badge can be issued after a $23.50 replacement fee is paid at the Ronald Reagan Medical Center Cashier Office, located next to the Gift Shop.

Off-Boarding Instructions

To formally end a volunteer assignment, volunteers must submit an "Exit Request" via the Volunteer Compliance Dashboard.

Background Checks

A cleared Online UBS background check is required before commencing any volunteer work. The background check fee, ranging from $44 to $55, will be charged to the PI/Supervisor’s funding. The HR Coordinator requires the relevant FAU (Funding Account Unit) along with the completed volunteer forms.

Scope of Duties Form

Approved Scope of Duties forms are valid for up to two years and must be renewed upon expiration.

  • Fine dining: Treat selected Riordan participants to fine dining while sharing your wealth of knowledge about your industry.
  • Facility tours: Give them a detailed tour of your facility to show them how your knowledge, expertise and day-to-day activities drive the success of your company.
