Eligibility and Regulations for International Students
International students at UIC must adhere to specific immigration regulations and campus policies regarding on-campus employment. These regulations differ depending on their visa status:
F-1 and J-1 Visa Holders
F-1 and J-1 international students are permitted to work on campus, subject to certain restrictions:
- Work Hours: Students can work up to 20 hours per week during academic sessions and over 20 hours per week during official university breaks. These limits apply to all employment, including off-campus experiences authorized by F-1 Curricular Practical Training (CPT) or J-1 Academic Training (AT).
- On-Campus Employment Definition: On-campus employment encompasses various roles, including teaching or research assistant positions, as well as student hourly jobs in administrative offices, residence halls, libraries, dining facilities, labs, recreational facilities, and even jobs with private companies that provide on-location services to UIC students, such as restaurants in Student Center East and Student Center West or the Starbucks in the Academic and Residential Complex (ARC). UIC has many public-private partnerships.
J-1 Exchange Visitor (EV) Students
J-1 EV Students have additional requirements:

- Authorization: J-1 EV Students must obtain authorization from their immigration sponsor before commencing on-campus employment.
- UIC Sponsorship: J-1 EV Students sponsored by UIC will collaborate with the Office of International Services to obtain on-campus work authorization.
- Third-Party Sponsorship: Students sponsored by third-party organizations must consult with their program sponsor regarding their on-campus work eligibility and the process for obtaining authorization.
- Reporting: If you are a J-1 EV Student, you must report your on-campus job to your immigration sponsor and obtain authorization for the employment on your DS-2019 prior to your first day of work. If you are a J-1 EV Student sponsored by UIC, submit the On-Campus Employment E-Form in myOIS.

Student Employment (SEO)
The Student Employment Office (SEO) serves as the centralized service for assisting UIC students in finding jobs. It should be your first stop when looking for on-campus, student-hourly positions.
Handshake
Utilize Handshake, their online portal to search on-campus job listings and apply.
- All students registered for classes are automatically uploaded to the system - simply log in with your University credentials to “claim” and activate your account!
- UIC Alumni are welcome to create new accounts in the system as well!
Departmental Opportunities
Colleges, graduate programs, administrative offices, and research centers appoint graduate students as teaching (TA), research (RA), or graduate assistants (GA).
Networking
Ask senior students how they landed their on-campus job and if they are aware of any open positions.

Application and Onboarding Process
Once you have identified a potential on-campus job, follow these steps:
Application: Submit your application through the appropriate channel, such as Handshake or the departmental contact.
Interview: If selected, participate in an interview to discuss your qualifications and the job requirements.
Job Offer: If offered the position, carefully review the terms of employment, including pay rate, work schedule, and job responsibilities.

- Once you are hired for an on-campus job, you will need to complete employment eligibility verification paperwork and other onboarding processes.
- If you are hired for an on-campus, student hourly position, this process will be managed by Student Employment.
- After completion of the HR onboarding process, your employing unit will provide you with your actual start date and timesheet entry directives.
- Student Employment will then reach out to the student for further proceedings and summon the student to complete the I9 form. Federal law requires original I9 documentation to be viewed, signed, and authorized in person.
- In some cases, your potential student employee hire may not be a new hire to the University. They may have an active employee record based on current or previous on-campus employment. A “student employee checklist” will not be sent to you.
Tax Information: Schedule a Foreign National Tax Status Review Appointment with the Office of Business and Financial Services to ensure that you are being taxed at the appropriate rate.
Important Forms and Processes
- Student Employee Requisition Form: If you are a NEW student employee (never been employed at UIC before), follow the instructions provided by Student Employment.
- HR Onboarding Process: Complete the required HR onboarding steps to become an official UIC employee.
- Rehires: The HR college/employing unit can process “Rehire” student employees via an ADD JOB transaction in HRFE. There is no need for these students to physically come into our office.

The Student Employment Office is responsible for administering all aspects of on-campus employment, including hiring procedures, policies, and best practices, and enforces compliance with university and state/federal regulations. They develop resources for student employment training and evaluation to provide students and their supervisors with meaningful and professional experiences.
