Understanding Your University of Oklahoma Diploma: A Comprehensive Guide

The University of Oklahoma (OU) diploma represents the culmination of hard work and dedication. This guide provides comprehensive information about OU diplomas, grades, academic records, and related policies.

Grades and Academic Records

Students' grades in all courses are officially recorded in the Office of the Registrar-Academic Records. These grades become part of the official records of the University.

Grading System

  • A: The highest grade, awarded for work of exceptional quality.

  • B: A good grade, indicating above-average performance.

  • C: An average grade, signifying satisfactory performance.

  • D: The lowest passing grade for undergraduate courses, indicating that credit should be allowed for the course. However, a degree will not be conferred if all work is at this level. In the Graduate College, a D is a failing grade and cannot be used to satisfy prerequisites or requirements for certificates.

  • F: Failure, indicating unsatisfactory performance.

  • S/U (Satisfactory/Unsatisfactory): These grades may be used in certain non-competitive courses, with the entire class graded on this basis. These grades do not affect the grade point average. At the undergraduate level, S signifies work of D quality or better (or C quality or better for advanced standing examinations). In the Graduate College, S represents work of B quality or better and is the only passing grade for special problems, individual research, and directed readings courses. S must be used to indicate that a thesis or dissertation is satisfactorily completed.

  • P/NP (Pass/No Pass): These grades are used when a student enrolls in a course under the pass/no pass option. P indicates a quality of C work or better. NP indicates no credit for the course.

  • I (Incomplete): A neutral mark, not an alternative to a grade of F. It indicates that the student has satisfactorily completed a substantial portion of the required coursework but needs to complete certain requirements within a specified time limit (usually one calendar year). The instructor indicates what needs to be done and sets a time limit. If the work is not completed within the year, the I grade changes to a predetermined permanent grade. In the Graduate College, an extension of up to one year may be granted with the approval of the instructor and Graduate College Dean.

  • AU (Audit): Indicates attendance in a class without participation or credit.

  • AW (Administrative Withdrawal): A neutral grade indicating involuntary withdrawal after the add/drop period.

  • N: A temporary grade indicating that no final grade has been reported. It is removed when the final grade is received.

Grade Point Average (GPA)

Each hour of A, B, C, D, and F carries a grade point value: A=4, B=3, C=2, D=1, and F=0. The cumulative GPA is based on all work attempted at OU and transfer work, minus repeated or forgiven courses. The minimum GPA required for graduation is 2.0.

Academic Appeals

Each college within the University has an Academic Appeals Board consisting of an equal number of students and faculty. The Board hears cases after a student has attempted to resolve a dispute over an academic evaluation with the instructor and, if necessary, the departmental chair.

Procedures for Academic Appeals

  1. Initial Notification: A student must notify the instructor of the dispute and attempt to resolve it. For end-of-term evaluations, this must occur no later than February 15 for the fall semester or winter intersession, and no later than September 15 for the spring semester, spring intersession, or summer session. For evaluations made during the term, the student must notify the instructor within 15 calendar days (excluding weekends and University holidays) after the results are known.

  2. Filing a Request: A written request for a hearing must be filed within 10 calendar days (excluding weekends and University holidays) after the attempts at resolution are completed. The Board may deny requests that do not meet this deadline unless exceptional circumstances prevented the student from filing the claim.

  3. Jurisdiction: The appeal is heard by the Appeals Board in the undergraduate college in which both the course and the instructor are located.

  4. Board Decision: Decisions are communicated in writing to the Board’s dean, the student’s dean, the student, and the instructor.

  5. Appeals: The Board’s decisions are final unless appealed in writing to the Executive Committee (or comparable body) of the degree-recommending college within 10 calendar days (excluding weekends and University holidays). The decision of the Executive Committee is final unless appealed to the faculty of the degree-recommending college within 10 calendar days. The faculty’s decision is final.

Student Records and Privacy (FERPA)

Most information concerning a student's academic record is confidential and is not released without the student's written authorization. The Federal Family Educational Rights and Privacy Act (FERPA) affords students certain rights regarding their education records.

Student Rights Under FERPA

  • Right to Consent: Students have the right to provide written consent before the University discloses personally identifiable information other than "directory information" from their education record.

  • Authorization Form: Students can authorize the release of their education record information to a third party on either a one-time or an ongoing basis by completing the Student Permission to Release Education Record Information Form.

  • Letters of Recommendation: Students can authorize any OU faculty/staff member to include personally identifiable education record information in letters of recommendation through the Open Records Office’s Letter of Recommendation Authorization form (PDF).

  • Parental Access: Parents of a dependent student may have access to grades and other confidential academic information under FERPA guidelines, limited to parents who claim the student as an exemption on their federal income tax return.

  • Right to Inspect Records: A student should submit a written request to the registrar, dean, head of the academic department, or other appropriate officials, identifying the record(s) they wish to inspect.

  • Right to Amend Records: A student who wishes to amend a record should write to the University official responsible for the record, clearly identify the part of the record to be changed, and specify why it should be changed. If the University decides not to amend the record, the student will be notified in writing of the decision and their right to a hearing.

  • Directory Hold: A student may elect to withhold directory information by filling out the Directory Hold Form. University officials are then prohibited from releasing any information without a written release from the student. A student cannot place a hold on a portion of the information and can place a directory hold at any time.

FERPA Exceptions

The University may disclose education records without a student’s prior written consent under the FERPA exceptions, including disclosure to school officials with legitimate educational interests.

Retention Standards

The retention grade point average is based on all work attempted, both transfer and OU, minus courses repeated or reprieved in accordance with the academic forgiveness policy, remedial courses, and PE activity courses.

Minimum Standards

These standards are minimal. Students not meeting retention standards will be placed on academic probation for one semester, at the end of which they must have met the minimum standard required to continue as a student in good standing. However, a student enrolled on probation may continue on probation provided the student makes a 2.00 grade point average on that semester’s work. Students should check with their college dean’s office or with the Office of the Registrar-Academic Records for specific enrollment requirements while on academic probation.

Credit completed after the end of the term or credit earned at another institution will be included in the student’s retention/graduation grade point average at the time the work is recorded in Academic Records. The student’s current academic status will be reviewed and/or updated at that time but previous postings of academic standing will remain unchanged.

Suspension and Readmission

A student suspended from the University for academic reasons is not eligible for readmission until one full semester has elapsed following the date of suspension.

Graduation and Diplomas

Although the formal Commencement ceremony is held only at the conclusion of the spring semester, degrees are posted and awarded at the end of each fall and spring semester and summer session. The degree and date of the diploma are entered on the student’s permanent academic record.

Graduation Dates

The date of graduation for each term is the last day of examinations in the fall, the date of commencement in the spring, and the last day of classes in the summer.

Degree Requirements

For a student to graduate, all work required for the degree must be completed satisfactorily by the last day of finals of the semester or term. A student may elect to be graduated under the requirements for an undergraduate degree in effect at the time of their first enrollment in the state system provided they complete the work for the degree within a maximum time limit, determined by the college, of not less than six nor more than 10 years. Credit in the student’s major field or area of concentration which is more than 10 years old may not be applied toward a bachelor’s degree unless it is validated by the major department, or by the departments in the student’s area of concentration.

General Education Requirements

All undergraduate students must satisfy the general education requirements that are part of the degree program under which they will graduate, unless they have completed an Associate of Arts or Associate of Science degree at an institution in the Oklahoma State System of Higher Education. Transfer students who enter the University with an Associate of Arts or an Associate of Science degree from an institution in the Oklahoma State System of Higher Education are considered to have met the lower-division (1000- and 2000-level) course requirements of the University’s General Education core curriculum. However, these students are still required to complete any lower-division coursework that is required beyond the University’s lower-division General Education course requirements, as well as the upper-division (including General Education) course requirements for a degree. Requests for exceptions to this policy must be submitted by the student’s college and approved by the general education committee.

Residency Requirements

A student must take a minimum of 30 semester credit hours at the University of Oklahoma, exclusive of correspondence and extension courses. At least 15 of the final 30 hours applied toward the bachelor’s degree or at least 50 percent of the hours required by the institution in the major field must be satisfactorily completed in residence at the University. However, colleges may have higher standards.
