Understanding Your University of Washington Diploma

Congratulations on nearing your graduation from the University of Washington (UW)! This article provides essential information about your UW diploma, covering everything from application procedures to diploma contents and replacement options.

Graduation Application Process

Undergraduate students must complete an application for graduation with their departmental advisor. Applications should be submitted no later than the third Friday of the quarter in which you plan to graduate. Submissions can be made up to three quarters before your intended graduation date. Consult the UW Academic Calendar for all graduation application and Graduating Senior Priority registration deadlines. Work closely with your departmental advisor to complete your graduation application, as the advisor will create the application for you. Staying in touch with your departmental advisor(s) is highly encouraged to ensure you are fulfilling all degree requirements as planned. Graduate students should review the Graduate School’s graduation requirements and check all relevant dates and deadlines.

Diploma Details

Students receive their diploma approximately two months after the quarter in which they graduate. UW bachelor’s degree diplomas list your Diploma Name, the degree you earned, your major, options (when applicable), and any applicable honors. Minors and concentrations are not listed on UW diplomas. Beginning with the Spring 2025 graduating class, majors and options (when applicable) will be printed on Bachelor degree diplomas.

Diploma Name

A student’s Diploma Name does not have to match their Student Record Name. Students can have their diploma issued in the name of their choice by providing that name information in the Diploma Name and Address form prior to graduation. To change your name on your University records, you must complete a Student Record Change Form and provide appropriate legal documentation.

Certified Electronic Diploma (CeDiploma)

The University of Washington offers Certified Electronic Diplomas and Certificates (CeDiploma/CeCertificate) at no cost. This is a true replication of the paper diploma that can be authenticated by the recipient. The UW encourages you to review their Certified Electronic Diploma (CeDiploma) webpage for more information. Beginning with the Spring 2016 class, the UW offers graduates a Certified Electronic Diploma (CeDiploma). CeDiplomas are available once the initial paper diploma has been issued and are no cost to the graduate. Names cannot be changed on CeDiplomas.

Replacement Diplomas

Replacement diplomas are available for purchase and delivery for graduates of all three UW campuses by using the Replacement Diploma Request. Replacement diplomas can be issued in the name of choice by providing the requested diploma name as part of the order form.

Washington University in St. Louis Diploma Information

This section provides information about the contents of your Washington University in St Louis diploma, with clear instructions for ordering a replacement diploma. The Office of the University Registrar begins placing diploma orders immediately after degree conferral. Address changes at this time are not allowed.

Diploma Characteristics

Each diploma is an original document, 8.5″ x 11″ in size. It is signed by the administration of Washington University and contains an embossed seal. It lists the student’s name, the official title of the degree, and the degree date. Only official degree titles will appear on diplomas. Diplomas for Juris Doctor, Legum Magistri, and Juris Scientiae Doctoris are written fully in English although they retain their Latin titles.

Name Preferences

While the university considers the diploma to be a ceremonial document, graduates may request that a preferred first and middle name be used on their diploma and in the Commencement Program. Students may check their name of record any time in Workday in their academic profile.

Diploma Issuance and Replacement

Washington University issues one original diploma. The Office of the University Registrar does not retain copies of diplomas. Electronic and paper diplomas are available for replacement orders. Note that the office cannot accept electronic payment. The office is located in the Women’s Building, lower level, Suite 010.

Shipping Information

Domestic orders ship via USPS and take an additional 1-2 weeks to arrive. International orders ship via FedEx and take up to an additional 4 weeks to arrive. Note that Canada’s postal service may be on strike, which could affect delivery times.
