Move Out Day Information for 2025 Standard Stay Residents

For our 2025 Standard Stay residents, Move Out Day is fast approaching. Here is some important information to make it as smooth as possible and to make sure you get your full room deposit refunded. Your contract end date is also your move out day. If you have lost any of your keys, please let us know as soon as possible as we will need to arrange for replacement keys/cards Letting us know before Move Out Day means we can finalise any charges on your account faster. If you're checking out early, you may be leaving outside of office hours and are unable to hand your keys directly to us. You can then place your room keys, any bike shed keys (if you have one) inside the envelope and write your details on it so we know who they came from. The After-Hours Key Return Box is located outside West Residence (near Australia Post parcel lockers). Either way please return your keys before 10am on Move Out Day. Please note: You are financially responsible for your room until your contract expiration date, even if you leave early, so make sure you lock your bedroom when checking out. To make sure you don’t get any extra cleaning fees, it’s important to leave your room in the same condition as when you moved in.

Remove all your personal belongings (including linen) from your room and shared common spaces. Carefully remove all adhesive tape, stickers and Blu Tack from walls, doors, ceiling, mirrors and windows. Make sure all Student Living supplied furniture and appliances are where they should be. If something requires maintenance, please log a job using the portal. Remember - shared spaces are a shared responsibility. If your housemates are moving out, it’s important to communicate with them early and discuss shared responsibilities.

Donating items you no longer need is a great way to save yourself space in the car, as well as helping the environment and those in the community. Donate household items that are still in great condition to ResShop! By current residents donating items it means that in early next year, residents will be able to shop sustainably for household necessities in return for a gold coin donation to charity. This also saves these items being discarded, which is great for everyone. Bring ResShop donations to the West Reception desk during opening hours, where the donation table is located. We don’t accept after hours donations so please don’t leave anything unattended.

Why not get together with your housemates in the week or two before Move Out Day for a pot-luck dinner, or a big cook-up to use up your fresh food? If you have unopened long-life food, such as canned and jarred foods, boxes of pasta or noodles, baking supplies or other pantry items, you can donate them to your fellow students at the UNSA Food Pantry. Please don’t leave opened food, food that is past the 'Use By Date' or perishable items. There will be a table set up at West Reception for you to drop your donation, and you can feel satisfied knowing you’re helping others and helping reduce food waste.

Clothes are some of the bulkiest things to pack, and if you’ve got any you’d like to donate, we have donation bins available in the residential precinct. You can donate clothes, shoes and accessories in clean good condition, and these will be picked up by charity organisations. To dispose of household rubbish when packing up for move out, use the regular bins for your residence. Make sure you use the right bin, so that recycling isn’t contaminated by general waste! If you have items that are too big for a regular bin, you can use the bulk waste disposal drop off points. These drop-off points will be set up in the weeks before Move Out Day for you to dispose of larger items - flat-pack furniture, fridges, and general hard rubbish. We'll send you the location points once they're set up.

There’s a few things you need to do to receive your room deposit back in full. Check your Student Living Portal account and make sure you don’t have any outstanding fees to Student Living. Make sure you leave your room in the same condition it was in when you moved in - if there is any damage, the room is not reasonably clean or original items are missing, an amount may be deducted from your Room Deposit. Check out our Terms and Conditions page for more information. Return all keys and security devices, as stated in the Occupancy Licence Agreement. All refunds (minus any amounts owed to Student Living or the University of Newcastle) will be directly transferred to the original credit card from which the payment was made. In the event a refund to credit card is not possible, we may need to refund you via a bank account. Australian Domestic bank account details can be updated in MyHub, so please make sure this is up to date. Domestic transfers can take up to 28 days following check out. For international transfers this process can take up to 56 business days. You can find this information in the Student Living Occupancy Licence Agreement.

If you are joining us for Summer Stay, are on a Long Stay contract or have an approved later departure, the Move Out Day specified above does not apply to you so please remain in your room until you receive further information regarding your move. We will provide you with an ‘I’m still here’ door hanger to hook on your current apartment/room door handle, and a sheet of ‘keep me’ stickers to place on the room items you plan to hold onto for your Summer Stay/Later Departure. In shared apartments, we recommend consolidating your food to one or two fridge shelves, keep utensils to one kitchen drawer and toiletries to one bathroom shelf or box. This helps our cleaning and maintenance staff know that you’re not leaving on Move Out Day, and your belongings are supposed to be in your apartment.

If you’re looking for a room off-campus, make sure you’ve got your rental reference. You can use this to liaise with private real estate agents and rental agencies. If you leave something behind and we find it, it will go to Security Services, who handle University Lost Property. Unfortunately, we cannot send forgotten items back to you. Your contact details in case the item is found. Unfortunately, we just don’t have capacity to store belongings. You can rent a storage unit locally at the following companies. If you're staying on for Summer Stay or have a 2026 contract, you can leave your bike within the precinct as long as it is secured to a bike rack. Please collect a bike tag from West Tower Reception and place it on your bike, that way we know you'll be coming back for it. If you simply can’t take your bike with you, you can leave it at the bike rack as abandoned property. Any abandoned bikes will be moved and recycled after Move Out Day.

Study Abroad Program

Program participants will take one required course of their choosing in Australian history or culture as well as the one-credit cross-cultural understanding course. The remainder of the courses is taken from the regular University of Newcastle curriculum alongside Australian students. An on-site Program Coordinator will provide the orientation, teach the Cross-Cultural Understanding course, arrange housing and excursions, and assist participants with their cultural transition and learning. Students can expect to attend both lectures (usually 2 hours in length and made up of an average of 200 students) and tutorials (much smaller classes of about 20 people). The tutorials are meant to have discussions about what happened in the lecture. Over the course of the semester, most students will be responsible for 3 or 4 big assignments per class, which can be weighted heavier than the numerous assignments required in many HPU courses. HPU will not accept credit for courses with grades of C- or below. Grades for all courses earned abroad are recorded on the international transcript. Credits are received by HPU as transfer credits, which means the credit is received but the grade is not.
