Navigating College Class Drop Deadlines: A Comprehensive Guide

Dropping a college class can be a necessary decision for various reasons, such as course difficulty, schedule conflicts, or changing academic goals. However, it's crucial to understand the deadlines and procedures associated with dropping a class to avoid academic and financial penalties. This guide provides a comprehensive overview of college class drop deadlines, refund policies, and related considerations.

Understanding Drop and Add Periods

Colleges typically have a designated drop/add period at the beginning of each term. During this time, students can adjust their schedules by adding or dropping courses. Students may adjust their schedule with a 100% tuition refund by dropping/adding courses during the established timeframes for each course. To complete the appropriate drop/add procedure via Student Planning or in-person by the designated deadline dates, students are responsible.

Course Mobility Clause

Some institutions, like SC4, offer a course mobility clause for students.

Withdrawal After the Drop/Add Period

Once the drop/add period (i.e. 100% refund) has expired, students may withdraw from classes by completing the process online, or in person. It's important to note that withdrawing from a class may result in a "W" grade on your transcript.

Specific Drop/Withdrawal Deadlines

Deadlines can vary depending on the length of the course. Here's a breakdown of typical deadlines:

  • Courses meeting 6 to 16 weeks: students may withdraw through the third to last Friday in the course.
  • Courses meeting 3 to 5 weeks: students may withdraw through the second to last Friday in the course.
  • Courses meeting 1 day to 2 weeks: Students may drop for a tuition refund on the first day of the class.

It is important to check the academic calendar for the specific deadlines for each term and course.

Tuition and Refund Policies

  • 100% Refund: Students who drop a class within the specified drop/add period typically receive a 100% tuition refund. Students may adjust their schedule with a 100% tuition refund by dropping/adding courses during the established timeframes for each course.
  • Partial or No Refund: After the 100% refund deadline, students may receive a partial refund or no refund at all, depending on the college's policy and the date of withdrawal. Once the drop/add period (i.e. 100% refund) has expired, students may withdraw from classes by completing the process online, or in person.
  • Financial Aid Implications: If you choose to drop a class or withdraw from ASU after this deadline, you may receive a bill for the financial aid used to cover those classes. Students receiving financial aid should consult with their Financial Aid Advisor. (Financial Aid will not pay for audits.)

Consequences of Not Officially Dropping a Class

Failure to formally withdraw from a class(es) may result in a grade of “E”. Students who stop attending but do not officially drop, withdraw or notify the Registrar office, receive the grade that they earned based on syllabus requirements.

Course Cancellation

SC4 makes every attempt to run all classes; however, some classes must be canceled due to low enrollment. Students whose class(es) have been canceled will be notified as soon as possible. Students are encouraged to enroll in other available sections or see an academic advisor for assistance in selecting other class options. If students choose not to enroll in another section or a different class, they will be refunded the tuition for the canceled class.

Special Sessions and Workshops

Martin Luther King Jr. Workshops have special deadlines. Special Session 1 (SP1) is typically utilized for workshop or special event courses that span four days or fewer. This will allow students to add up until the day before the class begins and drop with a W one day before the class ends. Special Session 2 (SP2) is used to schedule courses that fall outside of standard predefined sessions (e.g., 1st 8-week, 2nd 5-week), and that span 5 days or more. This will allow the student to add through the first day of class and drop with a W through the day after the first day of class. To enroll in a workshop that is full and has not started yet, you must submit a Registration Override Form, with the instructor’s signature, to the Registrar’s Office, Administration Building, Room 110, (208) 426-4249, no later than the day before the workshop starts.

Religious Holidays and Absences

As a publicly funded institution of higher education, Virginia Tech does not officially recognize religious holidays and celebrations. However, as an institution we recognize the importance of such events in the lives of our community members. If a student cannot attend a class, they may notify their instructor(s) directly or contact the Office of the Dean of Students, whose staff can provide advocacy through its absence verification process. The Office of the Dean of Students considers absence verification for any of the following reasons: illness or death of a family member or friend; off-campus medical appointments or hospital admission; court subpoenas; military orders; and observances of religious, cultural, ethnic, meaning-making, or faith-based beliefs. Staff members send an absence verification notice to the college dean, who then forwards the verification to the instructor(s). If upon a good-faith evaluation an instructor believes that accommodating an absence negatively affects the course of study, students can contact the Office of the Dean of Students for continued advocacy and guidance. Students are responsible for making arrangements with the instructor as soon as possible to complete any work missed due to absence. Faculty determine their attendance policy, including whether they will accommodate absences and how they will do so. However, in accordance with the Virginia Tech Principles of Community, faculty are encouraged to accommodate students when the observance of religious, cultural, ethnic, meaning-making, or faith-based beliefs conflict with academic requirements.

Non-Attendance and Drops

Students may be dropped for non-attendance when they register for in-person or ZOOM classes and do not attend at least 50% of the class sessions during the first week of the term, or for web classes, students may be dropped for non-attendance if they do not submit an assignment by Wednesday of the first week. This procedure does not apply to late start classes or non-credit classes, and only applies to students who have registered prior to the first day of the term. NOTE: This procedure does not relieve students of the responsibility to drop.

How to Drop a Class

  1. Log into your college's online portal: For example, at the University of Minnesota, you would log into MyU and select the Academics tab.
  2. Navigate to the registration section: Click the Registration sub-tab, then the Register button.
  3. Select the drop option: Choose the Drop tab.
  4. Choose the term: Select the appropriate term and click the Continue button.
  5. Select the class to drop: Check the box next to the class you would like to drop, and then click the Drop Selected Classes button.
  6. Confirm and finish: Confirm the classes you want to drop, and then click the Finish Dropping button.
  7. View your results.

Important Considerations

  • Student Responsibility: Students bear primary responsibility for their Course Registrations. Non-attendance of a course is not a cancellation, and students will be held responsible for paying any amount owed.
  • Add Periods: Students may add courses at any time during the published “add” period for each term.
  • Waitlists: Students may add themselves to a course waitlist in eServices up to the Thursday before the semester begins. The waitlist will be purged the Friday before the semester begins. The waitlist may re-open for later start courses further into the semester. Please review course-specific add/drop/withdraw dates in each class’s Course Details section in eServices or your class schedule.
  • Audit Option: Audit (AU) is an enrollment status, which allows students to take credit classes but not receive the credit or a grade. Students wishing to audit a course must do so by submitting the Audit Course Request form to the Registrar's Office by the withdraw/audit deadlines. For dates, please see the Academic Calendar.

Finals Week and Non-Standard Classes

Finals for classes that meet once a week or fall outside the MW/TR or MWF schedule are scheduled for their regular class meeting day and time during finals week.
