Understanding the financial aid disbursement timeline at the University of Central Florida (UCF) is crucial for students to manage their finances effectively and ensure timely payment of tuition, fees, and other expenses. Understanding Financial Aid Eligibility at UCF

At UCF, eligibility for financial aid is based on federal and institutional estimates of your family’s ability to contribute to the cost of education. There are five types of financial aid - scholarships, grants, loans, waivers, and federal work study. To determine your eligibility, you must complete the Free Application for Federal Student Aid (FAFSA). The Department of Education uses the FAFSA to check the accuracy of the information submitted. Students selected for verification are required to submit additional documentation before receiving a disbursement.

Dependency Status on the FAFSA

Dependency status is determined based on 13 questions on the FAFSA. Some key questions include:

  • Were you born before Jan?
  • As of today, are you married?
  • Are you currently serving on active duty in the U.S. armed forces for purposes other than training?
  • Are you a veteran of the U.S. armed forces (military, naval, air, or space service) and were released under a condition other than dishonorable; (2) served full-time as a Reservist or member of the National Guard; or (3) were called to federal active duty?
  • Are you currently serving on active duty in the U.S. armed forces but released under dishonorable conditions?

Provisional Independence: You’ll be considered provisionally independent and will be allowed to fill out the FAFSA form as an independent student if you indicate that you are unaccompanied and homeless or at risk of being homeless on the FAFSA form for the first time and you don’t have a determination from an individual at an eligible agency.

Satisfactory Academic Progress (SAP)

Satisfactory Academic Progress (SAP) status can be viewed on your myUCF Student Self Service Center by selecting the “View Financial Aid” link and then selecting the current aid year.

Verification Process and Required Documentation

The IRS Data Retrieval Tool in the online FAFSA application is the fastest, easiest, and most secure method of providing the required tax verification. You may log in to your FAFSA and submit a correction to use the IRS Retrieval Tool.

  • Online at IRS.gov. Click on “Get Your Tax Record”. Make sure to request a Tax Return Transcript, not a Tax Account Transcript.
  • If your parents were divorced or separated on the day you filed the FAFSA, you would use the parent with whom you lived with the most in the 12 months before filing the FAFSA.
  • Students and/or parent(s) can submit a completed and signed Dependent Verification Worksheet to certify that s/he has not filed and is not required to file an income tax return. Make sure to request an IRS Verification of Non-Filing Letter.
  • If income from work was earned and the W-2’s are not available, request a “Wage and Income Transcript” from the IRS. You will need to request it online.

Important Note: Incomplete submissions should expect a longer time frame as they will be pended until requested documentation is received. You can review whether your appeal has been received on your myUCF Student Self Service Center by selecting the “View Financial Aid Status” link.

Key Steps to Receiving Financial Aid

Here's a checklist to ensure you receive your financial aid in a timely manner:

  1. Apply for Financial Aid: Complete the FAFSA form.
  2. Visit the Receive Aid Checklist: Check your To-Do List on myUCF to ensure you have submitted all the required items and documents.
  3. Accept, Decline, or Reduce Awards: Only Federal Loan or Federal Work Study award offers can be accepted, reduced, and/or declined on your myUCF account. Scholarships and grants require no acceptance.
  4. Confirm Academic Activity: To receive federal financial aid, you must confirm that you’re enrolled and participating in classes by completing an academically related activity. Completion of an academic activity should occur each semester during the first week of classes each semester.
  5. Wait for Disbursement: Disbursements occur during the second week of classes, after the Drop/Swap and Add period has ended. Money is disbursed to students who have successfully completed all steps in the financial aid process.
  6. Expect a Tuition and Fee Deferment: Tuition and Fee Deferments are provided by Student Account Services to students with anticipated financial aid on file for the term.

The Financial Aid Disbursement Timeline

Disbursement of financial aid is the process in which financial aid awards (scholarships, grants, loans, etc.) are posted to the student’s account. Timing of disbursements is contingent upon students meeting all conditions for receiving aid and confirmation of academic activity or attendance.

Disbursement Schedule

Financial aid disbursement begins the week after Drop/Swap and Add, the second week of the semester, and continues each Tuesday and Thursday throughout the semester. Students are encouraged to check their myUCF portal frequently to ensure they have submitted all of the required documentation to Financial Aid so that their disbursement will not be delayed.

Key Milestones Affecting Disbursement

  • Confirmation of Academic Activity: Confirmation of academic activity will be provided to the financial aid office weekly. Students who have their academic activity confirmed by the drop/add deadline will have that information reflected with the financial aid office before financial aid disbursements begin. Students who have their academic activity confirmed after the drop/add deadline will have that information reflected with the financial aid office after the tuition/fee and housing deadline.
  • Drop/Swap and Add Period: At the end of the Drop/Swap and Add period, awards are adjusted based on the student’s final enrollment for the term. Students enrolled less than full-time may have their financial aid award(s) reduced and/or canceled due to not enrolling in the minimum required hours for the aid program.
  • Tuition and Fee Deferment: The deadline has been extended for payment to allow time for disbursement of your financial aid. The deferment extends the payment due date for tuition and fees to a later date in the term. The deferment prevents students from being dropped for non-payment and from being charged a late fee. The deferment only applies to tuition and fees.

Disbursement Process Details

The disbursement process is initiated by posting financial aid funds to the student’s account. Charges appearing on the student’s account will be deducted at that time. If charges remain on the student’s account after disbursements, or if subsequent charges are made to the student’s account, it is the student’s responsibility to pay them by the due date listed on your Fee Invoice.

After aid has been applied to the outstanding balance on the student’s account, any remaining funds will be processed as a refund with the exception of the PLUS Loan for Parents, which will be disbursed to the parent. If charges remain on your account after disbursements, or if subsequent charges are made to your student account, it is your responsibility to pay for them.

Students are strongly encouraged to establish direct deposit with the University of Central Florida. Direct deposit prevents delays due to lost checks or change of address.

Loan Disbursement Requirements

For any Federal Direct Loan, students must be enrolled and attending at least half-time in UCF classes that count toward degree requirements. Loans must be accepted on the myUCF Portal, and if required, the Master Promissory Note and Entrance Counseling must be completed.

If it has been more than 14 days from the date of the loan disbursement, or if you wish to return a partial amount of the loan, contact your servicer for repayment options. If your loan was disbursed within 14 days, you may submit a Loan Adjustment Request Form to cancel the full disbursement. However, if any portion of the loan was used to pay tuition, book charges, Short Term Advances or Housing, then accounts receivable will appear on your UCF account.

Enrollment Requirements for Aid Programs

Some scholarships and grants require full-time enrollment for disbursement. Eligible students who need less than 6 credit hours to graduate must submit a letter (on official letterhead) from their student success coach. Graduate level hours may be approved by the student’s student success coach if the graduate level hours will count toward the undergraduate degree completion requirements.

Textbook Purchase Programs

Because financial aid disbursement does not start until the second week of classes, UCF has two programs to assist students with purchasing their textbooks: the Short Term Advance and the Textbook Purchase Program.

Textbook Purchase Program

The Textbook Purchase Program is available three weeks before classes begin and the first week of classes each semester. For consideration, students must “opt-in” each semester on their myUCF Student Center. Eligible students can then purchase up to $600 on required books and supplies at the on-campus UCF Bookstores by simply presenting their UCF ID Card. Only the amount spent at the UCF Bookstores will be added as a charge to the student’s account. Once financial aid is disbursed, it will pay off this charge after other UCF expenses are paid. Students registered for classes at any of the UCF Connect Campuses are likely to purchase textbooks/course materials from the bookstore on that campus site.

Short Term Advance

The Short Term Advance is available to assist students with books and supplies expenses by “advancing” up to $600 of their financial aid to them. The students receive the funding via direct deposit or check and then may use it at any bookstore to purchase their books. Once financial aid disburses, the Short Term Advance debt is paid, along with other university expenses. A $5.00 non-refundable processing fee will be assessed and added to the balance of the advance.

Please Note: Short Term Advance eligibility is determined by the information available at the time the application is reviewed.

Additional Considerations

Financial Obligations

You are liable for tuition and fees whether you attend classes or not. This creates a commitment for payment. Failure to complete an academic activity in any course does not affect the student’s financial obligation to pay charges for tuition and fees, Housing, short term advances, etc.
