NEOMED Student ID and Admission Processes: A Comprehensive Guide
Northeast Ohio Medical University (NEOMED) has specific procedures for student identification, financial aid, and admissions across its various programs. This article provides a detailed overview of these processes, covering everything from obtaining a student ID to understanding the nuances of the M.D. program application.
Obtaining Your NEOMED ID
A NEOMED ID is mandatory for all students and employees. Here’s what you need to know:
- Requirement: All students and employees are required to obtain and wear a NEOMED ID or affiliated hospital ID at all times.
- Issuance: Students receive their initial ID card during their scheduled orientation program at the beginning of the academic year.
- Location: NEOMED ID badges are obtained through the Department of Public Safety, at the campus security office, room A-90. Faculty with an active NEOMED faculty appointment may request a NEOMED ID through the appointing college.
- Vendors: Vendors are handled on a case-by-case basis.
- Lost or Stolen IDs: It is the responsibility of the individual student or employee to report a lost or stolen ID to the Department of Public Safety.
- Cost: The first NEOMED ID is provided free of charge. However, there is a $15 replacement fee.
- Payment: For a replacement ID, payment is made to the accounting staff, who will issue a receipt. This receipt must then be taken to the campus security office as proof of payment.
- Access: Faculty, staff, and students will initially be given general campus access, unless their duties require additional access to restricted areas.
Navigating Financial Aid
Understanding the financial aid process is crucial for NEOMED students. Here’s a breakdown of the key steps and requirements:
- FSA ID: Students must have a Federal Student Aid ID (FSA ID) before completing the FAFSA (Free Application for Federal Student Aid).
- FAFSA: The Department of Education permits financial aid offices to review and approve amendments to a student’s FAFSA if there are mitigating financial circumstances not represented on the FAFSA application.
- NEOMED Financial Aid Supplemental Application: This data collection form is used by the Office of Financial Aid to help determine eligibility for financial aid administered by NEOMED.
- Consents on Student Self-Service: In addition to completing the FAFSA, students are strongly encouraged to review and complete the consents on the financial aid home page on Student Self-Service.
- Authorization for Other Charges: Federal regulations allow schools to use federal financial aid to pay for tuition and mandatory fees related to degree programs. However, students must authorize the use of federal student aid to pay for other charges such as medical insurance, printing charges, parking, and overdue library fines.
- FERPA Release: In accordance with the Family Educational Rights and Privacy Act (FERPA), NEOMED protects the privacy of student education records by requiring prior written consent before disclosing specific details about financial aid and tuition statements to anyone other than the student. Students may complete the FERPA Release to specify the individual(s) with whom protected information may be shared.
- Additional Documentation: While your application is being processed, you may be asked to provide additional documentation or information. Failure to provide requested information in a timely manner may result in your financial aid being placed on hold or withdrawn.
- Secure Document Upload: Securely upload files through Student Self-Service by selecting "All Users" from the menu, and then "Secure Document Upload." Choose the type of document to upload, then press submit.

Applying to the Doctor of Medicine (M.D.) Program
The application process for the M.D. program at NEOMED is comprehensive and has several distinct pathways:
Early Decision Plan (EDP)
- Application: Candidates apply through AMCAS (American Medical College Application Service) for the M.D. program.
- Notification: Notification to the applicant regarding admission is given by October 1.
- Commitment: If selected, an EDP admit receives the benefit of early notification of acceptance and is, therefore, obligated to attend the NEOMED College of Medicine under American Association of Medical Colleges (AAMC) admission policy.
- Alternative: If not selected for admission through the early decision plan, applicants may then apply to other medical schools.
Regular Decision Plan (RDP)
- Requirements: All Regular Decision applicants must present valid MCAT scores, apply through AMCAS by November 1, and have the secondary application (by invitation only) complete and verified to the Office of Admissions by December 1.
- Notification: Notification to the applicant regarding admission is given on a rolling basis.
- Acceptance Timeline: Generally, the first round of RDP acceptances are communicated in late January.
Combined M.D./Ph.D. Program
- Application: Applicants interested in acceptance into a combined M.D./Ph.D. program may do so using AMCAS by selecting the M.D. / Ph.D. application plan.
- Review Process: Faculty from both the M.D. program and Ph.D. programs will review and evaluate M.D. /Ph.D. candidates. Candidates may interview for both programs.
- Acceptance Contingency: Acceptance is contingent upon approval by both the M.D. and the Ph.D. programs.
- Contact: For questions about the Doctor of Philosophy (Ph.D.) Basic and Translational Biomedicine (Research), contact Dr.
Graduate Studies Special Program (GSP)
- Invitation Only: The graduate studies special program is offered by invitation only.
- Pre-Approval: Candidates granted pre-approval from the prior year’s M.D. program.
- Matriculation: NEOMED matriculated about 40 students through the GSP for each of the last two cycles.
General Admission Requirements
- Residency: For most entering classes, about 80% of the entering students are Ohio residents, whether they attend college in Ohio or elsewhere. About 20% of our incoming M.D. class arrives in northeast Ohio from all over the country.
- Application Service: Students apply to NEOMED using the American Medical College Application Service (AMCAS) application from across the United States.
- Interviews: NEOMED interviewed over 400 non-Ohio resident candidates in the 2024 - 2025 admission cycle!
- Permanent Resident: permanent resident (latter must submit documentation of status during application process).
- Entering Student Profile: Many candidates applying through the competitive regular decision plan benefit from reviewing the entering student cohort profile of regular decision applicants. Note: NEOMED entering student profile data also appears in the Medical Student Admission Report.

The best advice we have is to begin early as soon as Navigate NEOMED is available.
- Deposit and Commitment: The only firm requirement we enforce is that all Early Decision and Regular Decision Plan incoming M.D. M1 students use the tool to indicate that they “Commit to Enroll” to NEOMED by no later than June 5. You must also pay your deposit by no later than June 5. Failure to do so may result in cancelling a candidate’s place in medical school, so be sure to follow through!
- Campus Visit: You may sign up for a campus visit. We want your visit to be welcoming, informative, and enjoyable. Please help us do that by reserving your visit.
- Housing: We recommend that you explore The Village at NEOMED as an incoming student.
- First Day: The first day of mandatory, in-person, M.D. program is in mid to late July.
- Have a question: Have a question about your M.D. acceptance?
Deferring Admission to the M.D. Program
NEOMED entertains requests from accepted students to defer the year of admission. Here's how:
- Eligibility: Candidates may request to defer their terms of matriculation to the M.D. program for one academic year based upon certain circumstances upon acceptance to the M.D.
- Formal Acceptance: Candidates must first formally accept their offers of admission to the M.D. program in the timeline provided. Acceptance timelines vary depending upon the timing of the admission cycle in accordance with AAMC Application and Acceptance Protocols for admission officers.
- Written Request: Candidates are to contact a NEOMED admission official in writing requesting a deferment of matriculation term. The NEOMED admission official will offer procedural counsel as to how accepted candidates may request a deferment of matriculation term to the M.D program are to proceed.
- Consultation: Candidates will be instructed to confer with the chair of the college admissions committee or designee to determine is deferment is in the best interest of the candidate’s future medical career.
- Notification: Accepted candidates will be notified of the college admission committee’s decision in writing shortly after the conclusion of the scheduled meeting.
- Re-Application: If approved, candidates shall re-apply for admission to the M.D. program at NEOMED via AMCAS during the next admission cycle using the AMCAS application for deferred students. The application process shall include the submittal of a secondary application for admission. There is no charge to apply as a deferred candidate.
- Reasons for Deferment:
- Illness or Hardship: Candidates may be eligible to defer the term of matriculation for reasons of illness or hardship. In most cases appropriate documentation of serious illness is encouraged to support candidate petitions along with the written deferment request. Hardship generally refers to family or personal circumstances where relocation would impose a significant hardship upon candidates matriculating for their term of acceptance. Deferment requests for reasons or illness or hardship are generally entertained until July 1 prior to the start of M.D. classes later that same July.
- Enrichment Opportunities: Candidates may be eligible to defer the term of matriculation for reasons of enrichment opportunities. Reasons for personal and professional enrichment may be wide-ranging and subject to the interpretation of the college admission committee. These may include, but are not limited to, additional higher education opportunities, research and employment opportunities conducive to building a robust curriculum and/or career vita (CV), or service and volunteer opportunities.
- Enrichment Deferment Deadline: In keeping with AAMC Application and Acceptance Protocols for applicants stating that “on or before April 30, choose the school or program to which you (the candidate) plan to matriculate and promptly withdraw your acceptances from all other schools or programs”, all requests for deferment of matriculation for reasons of enrichment must be received by no later than May 1 before the start of classes for the matriculating M.D.
- Potential Impacts: Candidates are advised that certain circumstances may adversely impact their deferment status once granted a deferment of matriculation to the M.D program at NEOMED. These may include any significant changes to a candidate’s academic record and/or any infractions of a legal, academic or professionalism nature. The AMCAS primary and secondary applications for admission will serve as reference points for disclosure of any such infractions or academic updates and all candidates are subject to a new criminal background check (CBC) prior to matriculation into the M.D. program.
- One-Year Master's Programs: NEOMED offers one-year master’s degree programs designed to compliment our M.D. program and create transformational leaders in health care. Accepted students seeking to add enrichment experiences or bolster their resumes for residencies may choose to enroll in a one-year master’s degree program such as the Master of Leadership in Health Systems Science and request an enrichment deferment to start the M.D. program one year later.
Additional Information for M.D. Applicants
- Plan to Enroll: “Plan to Enroll” selection is available until the end of the cycle: NEOMED highly recommends (but does not require) use of this option. This does help NEOMED (and other medical schools) by allowing us to right-size classes throughout the cycle. This tool indicates the applicant’s “Top Choice,” but he or she may remain active in the admissions process (i.e. interviewing at other schools).
- Regular Decision Acceptances: NEOMED makes acceptance offers in small “rounds” for regular decision admission plan candidates starting in the winter and we anticipate continuing this process through the start of June annually.
- Acceptance Timing: An acceptance offer can arrive quickly without advance notice.
- Campus Visits: A campus visit is a good idea if practical once you are invited to interview. NEOMED also offers regular opportunities for engagement virtually through Zoom chats and information sessions.
- Alternate List: We have found that our alternate-list movement is so fluid and robust that we do not share alternate list rankings or space availability with candidates. NEOMED does not factor in any updates to the decision process. As we view all alternate list candidates as admissible M.D. students we hope to welcome to NEOMED, the desired outcome is an offer of acceptance.
- Final Notification: We will notify all candidates for whom we were unable to offer a seat of the final decision during the first week of class. We will not leave alternate-list candidates without the courtesy of final notification. Until that time an acceptance offer is always possible.
- Gap Year Program: Candidates who do not hold acceptance offers in the early summer may be planning gap-year experiences in preparation for another medical school admission cycle. NEOMED offers an innovative gap year opportunity for a select number of alternate list candidates to spend a gap year with us at NEOMED. Candidates may choose to complete a one-year master level degree program in one of several areas of study at NEOMED designed to prepare contemporary physicians to meet the mounting challenges facing health care now and in the future. Selected NEOMED gap year programs may be paired with offers of early assurance to include a reserved seat in the 2026 NEOMED M.D. class.
