Navigating the Jefferson Tuition Reimbursement Landscape: A Comprehensive Guide
Jefferson offers various tuition assistance and reimbursement programs to support its community and unlock opportunities for personal and professional growth. This article provides a comprehensive overview of Jefferson's tuition reimbursement policies, eligibility criteria, and application procedures. It covers general tuition reimbursement, graduate tuition discounts, and military tuition assistance, providing a roadmap for navigating these valuable benefits.
Understanding Key Definitions
Before delving into the specifics of the Jefferson tuition reimbursement policy, it's crucial to understand the following key definitions:
- Accelerated Session/Term: An in-class or online academic term that does not exceed eight weeks.
- Departmental or Program Fees: Fees specific to a particular academic department or program.
- Half-time Status: Enrollment in half of the minimum full-time credit load for a term. For undergraduates, it's generally six credits, while for graduate students, it's based on the program's definition of full-time status. Maintaining half-time status is often required for federal aid eligibility.
- Last Day of Attendance/Otherwise Ceases to be Enrolled: The date a student stops attending class on at least a half-time basis.
- Leave of Absence: A temporary absence from the University with a clear intention to return.
- Non-matriculated: A student who has not been formally accepted into a degree or certificate program.
- Satisfactory Academic/Scholastic Standard(s): Meeting all academic and community standards requirements of the University, including program-specific policies and experiential learning placement policies.
- Withdraw/Withdrawal from the University: Voluntarily removing oneself from a college, school, or program at the University.
General Tuition Reimbursement Policy
Jefferson provides tuition reimbursement opportunities for its employees to encourage professional development and further education. The general process involves the following steps:
- Application: The employee must complete an electronic Education Reimbursement Application.
- Review: The Training Office reviews the application for completeness.
- Documentation: The employee must provide receipts from the academic institution and others for qualifying expenses that the employee has already paid, along with proof that the item was required for the course (e.g., syllabus).
- Academic Performance: Grades must meet or exceed the minimum requirements: "C" for undergraduate courses, "B" for graduate courses, and "P" for Pass/Fail courses.
- Processing: If the application is complete and the grades meet the requirements, the Training Office forwards the package to Accounts Payable for processing. If incomplete, the Training Office returns the package for rework.
New Tuition Discount Opportunities
Jefferson is committed to supporting its community by providing enhanced educational opportunities. To that end, new tuition discount policies have been introduced, specifically focusing on dependent tuition and graduate studies for employees.
Graduate Tuition Discount for Employees
Effective January 1, 2025, Jefferson colleagues employed by Thomas Jefferson University, Jefferson Health, Jefferson Health Plans, or the Lehigh Valley Health Network (LVHN) may receive a tuition discount on specific graduate programs.

- Eligibility: Employees who receive a Jefferson or LVHN paycheck qualify for the graduate tuition discount. New employees must be processed in the HR system by the start of the term to receive the discount.
- Discount Amounts: The Graduate Tuition Discount is 15% for most graduate programs in the College of Population Health and 10% for most graduate programs in other colleges.
- Qualifying Programs: Over 130 Jefferson graduate programs qualify for this discount.
- Exclusions: Employees who already receive a discount or reduced tuition rate for serving as preceptor (Nursing and Occupational Therapy) or adjunct faculty (Nursing) are not eligible for the additional discount.
- Action Required: For Jefferson and LVHN employees who are currently enrolled, there is no action you need to take.
- Stackability: These discounts are in addition to any existing Jefferson or LVHN tuition benefits.
Military Tuition Assistance (TA)
Jefferson is committed to supporting currently serving members of the Armed Forces through Military Tuition Assistance (TA).
- Eligibility: TA is exclusive to currently serving members of the Armed Forces.
- Reimbursement: TA can reimburse up to 100% of the course cost, with limitations depending on the branch of service:
- Air Force, Navy, Marines, and Coast Guard: Up to $250 per credit hour, not to exceed $4500 per fiscal year.
- Army: Up to $250 per credit hour, not to exceed $4000 per fiscal year.
- Coast Guard cannot exceed $250 per credit hour; up to $2250 per fiscal year.
- Payment Structure: TA is a tuition reimbursement program; payments are made directly to the college and may be applied later in the semester. Students must pay all tuition due on their account when viewable. Payments not made by the provided deadline may result in schedule cancellation.
- Application Timing: TA requests should be completed PRIOR to the start of the semester.
- Application Process: Follow specific instructions for your military service branch regarding how to request Tuition Assistance for your course(s). Take note of the TA application instructions/deadlines specific to your branch and Jefferson State Community College academic calendar to ensure your request is processed in a timely manner.
- Withdrawal Implications: When a student withdraws, they may no longer be eligible for the full amount of TA funds awarded at the start of the semester. Any unearned Military TA funds will be returned directly to the military service, not to the service member. The calculation of the return may result in the service member owing a balance to the college.
- Withdrawal Due to Military Obligation: If the service member withdraws due to a military service obligation, the college will work with the service member to identify a solution that will not result in a student debt for the returned TA portion.
Important Considerations Regarding Financial Aid
It's crucial to understand how withdrawing or changing enrollment status can impact financial aid, particularly for recipients of federal aid.
- Return of Title IV Federal Funds Policy: Students who are federal financial aid recipients (e.g., Federal Direct Subsidized and Unsubsidized Stafford Loan, Direct PLUS, Pell Grants, FSEOG Grants, Other Title IV aid) who withdraw, or otherwise cease to be enrolled before the end of a term will be subject to the Return of Title IV Federal Funds Policy.
- Recalculation of Eligibility: The University is required to recalculate federal financial aid eligibility for students who complete less than 60% of an enrollment period (based on the number of calendar days).
- Impact of Withdrawal/Reduced Enrollment: When a student withdraws from all courses, stops attending, or enrolls for less than half time status, the eligibility for the full amount of Title IV aid may be forfeited.
- Assumption of Attendance: Title IV financial aid funds are awarded under the assumption that a student will attend for the entire period in which they are enrolled.
Additional Information
- Housing and Residence Life Fees: Fees associated with on-campus housing.
- Health Insurance: The cost of health insurance coverage.
- 11-12 Month Modular Enrollment: Some programs operate on a modular basis, where students are enrolled for 11-12 months.
