Microsoft 365 Education: Free Access for Eligible Students and Teachers

Microsoft 365 Education provides a comprehensive suite of tools, including Word, Excel, PowerPoint, Outlook, Publisher, and Access. It allows students to install these applications on up to five personal PCs or Macs, five tablets, and five smartphones.

Eligibility and Verification

To access Microsoft 365 Education, you must be enrolled in a qualified school or working at one. Microsoft may re-verify your eligibility at any time to ensure continued access. Obtaining Microsoft 365 Apps vs. Desktop Version

When requesting access, it’s important to specify whether you need the Microsoft Office 365 Apps version or the Desktop version. The Desktop version allows you to download Microsoft Office 365 for free on multiple devices. To access the Apps version, you may need to request it specifically from your IT department.

Installation Process

Desktop Version:
- Click on your name in the lower-left side of your screen.
- Then click My Microsoft 365 profile.
Apps Version:
- Request access from IT to the App versions of Word, Excel, PowerPoint, Outlook, Teams, and OneNote.
- Click on Apps on the left side of your screen.
Mobile Devices:
- Go to your App Store and search for M365.
- Install the individual apps you want.
Web Page Installation:
- Choose the Install Office option on the top right side of the web page.
- Choose M365 apps from the drop-down menu.

Important Note: Do NOT go offline or disconnect from the internet during this process or while Office is installing in the background.

What Happens When Your Education Plan Expires?

When your Office 365 Education plan expires, the applications enter a reduced-functionality mode. In this mode, you can view documents, but you cannot edit or create new ones. To extend your plan, you can re-verify your status as an educator or student, or you can move to a Microsoft 365 personal plan.

Using Microsoft 365 Online for Free

If you don't qualify for the Education plan or prefer not to install the desktop applications, you can still access a number of Microsoft 365 apps online for free. This includes Word, Excel, PowerPoint, OneDrive, Outlook, and Clipchamp.

Limitations of the Free Online Version

While the free online version offers access to essential apps, it has certain limitations compared to the paid version:

Functionality: The free apps only run in your web browser, and you can only use them while actively connected to the internet. There is no offline version.
Features: The free apps have fewer features than the full Microsoft 365 versions. For example, Microsoft Teams calls are limited to group calls of 100 participants for 60 minutes per month with the free app. Microsoft 365 Personal or Family plans can make Teams calls of up to 300 participants with a 30-hour monthly allowance.

For basic use, these limitations may not be significant. However, users who require more advanced features or offline access may need to consider a paid subscription.

Paid Microsoft 365 Subscriptions

If the free options don't meet your needs, Microsoft offers several paid subscription plans. A paid Microsoft 365 membership starts at $2 a month or $20 a year for Microsoft 365 Basic or it can cost up to $130 a year for Microsoft 365 Family.
