Troubleshooting Student Access to the UCI Registrar

Accessing the UCI Registrar, particularly WebReg, can sometimes present challenges for students. This article aims to provide guidance on troubleshooting common issues encountered while attempting to access and utilize the system. It addresses problems ranging from system slowdowns and outages to login difficulties and enrollment exceptions.

Understanding System Slowdowns and Outages

Students may experience system slowdowns or even full outages while trying to use WebReg. A significant contributing factor to these issues is the use of student-written bot programs. These bots are designed to continuously ping classes, attempting to identify any newly opened seats. The excessive traffic generated by these bots can overwhelm the system, leading to performance degradation and, in some cases, complete outages. Such outages have been observed, particularly during peak activity times, such as when enrollment opens to all students.

The university's IT units, including IT security, are actively working to identify and shut down these bot programs. Efforts are also underway to identify the individuals connected to the bots. Students impacted by internal server errors that resulted in a loss of access to a class may be eligible for assistance. It's crucial to stay informed about any changes to the situation. Due to potential limitations within the WebReg system during these periods, students should always use the supported entry point to WebReg, as other links may be taken offline as part of the efforts to restore service.

Addressing Login Issues

Encountering difficulties during the login process is another common problem. If login attempts to "UCI Secure Web Login" result in the message, "Invalid UCInetID or password," double-check the entered credentials for accuracy. If the WebReg Logout Screen appears instead of the "UCI Secure Web Login" screen, carefully read the message at the bottom of the screen, as it will provide information about why the "UCI Secure Web Login" screen did not appear.

Basic Troubleshooting Steps

Before seeking further assistance, consider these basic troubleshooting steps:

  1. Shut down your computer: Ensure the power is completely off.
  2. Restart your web browser: Start only your web browser program (e.g., IE). Avoid opening any other programs.
  3. Check for recent computer changes: If you have successfully used WebReg from the same computer before, verify that no changes (additions, deletions, or modifications) have been made to your computer since your last successful access. The installation of new programs or altered security settings can sometimes interfere with WebReg functionality.

If the problem persists, consider using WebReg from a different computer, such as a public computer available on campus.

Enrollment Exceptions

Enrollment Exceptions are used to add, drop, change grading options, or change the unit value of a course beginning Monday of the 3rd week of instruction. The option to switch between zero unit courses, such as discussions, is also available through Enrollment Exceptions.

How to Submit an Enrollment Exception Request

To submit an Enrollment Exception request:

  1. Click on the Applications tab in StudentAccess and select Enrollment Exceptions.
  2. Choose the appropriate enrollment action to petition for an exception.

Keep in mind that Enrollment Exception requests to add, drop, or switch courses require approval from the academic advising office of the school offering the course and the school of the student's major (if different). Additional information may be required, and you will need to provide this information promptly. Requests are typically processed within 2-3 business days per reviewer. There is no guarantee that your Enrollment Exception request(s) will be approved. If approved, the effective date of your request is based on the date and time you submitted your request, not the date and time it was approved. Reviewers have until Wednesday before the grade submission deadline of the applicable term to approve or deny all Enrollment Exception requests.

Seeking Further Assistance

If the above steps do not resolve the issue, consider the following:

  1. Contact your systems administrator or Internet Service Provider (ISP): They may be able to identify and resolve network-related problems.
  2. Avoid altering security settings: It's generally advisable to use WebReg from another computer rather than compromising your computer's security settings.

Navigating WebReg

To access WebReg, press the "Access WebReg" button in the blue box located on the right side of the StudentAccess page. Upon successful login, you should see only the WebReg Main Menu.
