Zoom Meetings vs. Webinars: Key Differences

While both Zoom Meetings and Webinars facilitate online interaction, they cater to distinct purposes. Zoom Meetings are designed for collaborative discussions, where all participants can actively engage with audio and video. In contrast, Zoom Webinars are structured for a presenter-audience format, with attendees primarily viewing and listening.

In Zoom meetings, participants typically turn on their cameras and microphones to chime in with comments. Webinar attendees, on the other hand, typically register to gain access and their view of the webinar is controlled by the host.

Webinar Roles: Host, Co-host, Panelist, and Attendee

Webinars involve different roles, each with specific permissions and responsibilities:

  • Host: The user who schedules the webinar and possesses full control over its management, including panelists and attendees. There can only be one host.
  • Co-host: Shares many of the host's controls, assisting with administrative tasks like managing attendees or initiating/stopping recordings. The host must assign co-host privileges, and co-hosts cannot start the webinar.
  • Panelists: Full participants with the ability to share video, screen share, annotate, and speak to attendees. The webinar host assigns panelist permissions.
  • Attendees: View-only participants whose webinar experience is controlled by the host. They can interact through Q&A and chat features and can be un-muted if the host chooses.

Registration: Gaining Access to the Webinar

Webinars can require pre-registration, where attendees complete a form before receiving the join link. The host can opt for automatic approval of all registrants or manually approve each one.

Scheduling a webinar with registration requires your registrants to complete a brief form before receiving the link to join your webinar. With Webinar registration, registrants can be imported via CSV and automatically approved. Scheduling a webinar without registration will allow attendees to join without needing to sign up in advance. Similar to a meeting, Zoom allows you to schedule recurring webinars during specific dates and times.

Customization options are available for the webinar registration page, allowing the incorporation of a color scheme, title, banner, logo, and speaker information (including descriptions and profile pictures for up to three speakers). Users can customize these settings when you schedule a webinar that requires registration.

The Attendee View: What They See and How They Interact

Attendees primarily experience the webinar as viewers. Their audio and video are typically disabled by default, and their interaction is primarily through the Q&A and chat features. The host controls what attendees see, including shared screens, panelist video feeds, and presentations.

Attendees can submit questions through the Q&A feature, which panelists, co-hosts, and the host can answer either by typing or by answering live. The Chat feature allows attendees, the host, co-hosts, and panelists to communicate for the duration of the webinar.

The Question & Answer (Q&A) feature allows attendees to ask questions during the webinar and for the panelists, co-hosts, and host to answer their questions. Answers can be provided by typing in the answers or choosing to “answer live”. The Chat feature allows webinar attendees, the host, co-hosts, and panelists to communicate for the duration of the webinar.

*NOTE: Webinar Reports must be generated before your online Webinar event reservation expires. A Webinar Practice Session allows you and your panelists to get set up and acquainted with Zoom webinar controls before starting your webinar. The practice session can only be started by the host or alternative host.
